
Bilingual Document Specialist – Multiple Shifts Available

This is a fully remote position, open to applicants in Canada.
• Generate legal and various documents through copy typing, transcription, scanning, and alternative methods.
• Modify styles, execute mail merges, embed media into presentations, cross-reference, index, and create tables.
• Collaborate with financial tables, graphs, and graphic applications.
• Review and proofread documents for formatting, spelling, grammar, coherence, and clarity.
• Compare different versions of documents, verify revisions, and rectify document corruption.
• Acquire a working knowledge of the Firm’s document production methodologies and precedents.
• Respond swiftly to requests, adhere to deadlines, and work collaboratively with various departments and individuals within the Firm.
• Utilize word-processing skills on complex legal and other documents.
• Manage variations in workload with minimal oversight.
• Conduct quality control, seek clarification, and review the work of others as necessary.
• Assist and guide other team members.
• Oversee the intake, prioritization, and coordination of document production and support requests as needed.
• Provide comprehensive document production support across the Firm using Microsoft Word, Excel, PowerPoint, Visio, and other applications.
• Document, log, track, and respond to calls, emails, voicemails, and in-person visits.
• Manage escalations and maintain ownership of issues related to document production support.
• Track calls, investigate issues, and update the knowledge base accordingly.
• Review procedures and propose solutions for document production and support.
• Perform additional tasks as assigned.
• College certificate in office administration, legal specialization, or a related field.
• A minimum of three years of experience in a professional work environment.
• Experience in a document production role is preferred.
• Familiarity with legal terminology, documents, and procedures is advantageous.
• Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
• Excellent interpersonal skills and telephone etiquette.
• Ability to correspond effectively and respectfully with DSG clients.
• Capacity to convey knowledge using various techniques and software applications.
• Patience, adaptability, and ability to manage challenging situations.
• Strong organizational skills with meticulous attention to detail and proofreading capabilities.
• Ability to cope with pressure and stress.
• Well-developed analytical and problem-solving abilities.
• Flexibility to adapt to different work schedules, including weekends and statutory holidays when necessary.
• Capability to work independently, prioritize tasks, and make daily decisions.
• Ability to type 80–100 words per minute.
• Bilingual proficiency in French and English is required for bilingual shifts/positions.
• At least 2 years of experience in document management as specified for the role.
