This is a fully remote position, open to applicants in Brazil.
• Professionally handle inbound patient calls in both English and Spanish.
• Offer front-office support and address general patient inquiries.
• Direct clinical questions and provider-related requests to the appropriate team member.
• Conduct outbound patient follow-up calls.
• Manage messages, faxes, and patient communications efficiently.
• Schedule, reschedule, cancel, confirm, and remind patients about their appointments.
• Coordinate appointments based on provider availability and fill open slots.
• Follow up on missed appointments and maintain precise schedules.
• Register new patients and gather demographic information.
• Provide registration and intake forms while following up on any incomplete paperwork.
• Update and maintain patient data in EMR/EHR systems.
• Ensure that records and documentation are complete and up-to-date while maintaining confidentiality.
• Verify insurance eligibility and benefits, documenting all insurance information accurately.
• Assist with insurance administration and coordinate with billing personnel.
• Monitor, route, and respond to incoming faxes appropriately.
• Keep front-office records organized.
• Deliver welcoming, professional, and empathetic service to patients.
• Follow up on outstanding administrative issues.
• Communicate effectively with patients, providers, and internal staff.
• Minimum of 3 years of experience in U.S. healthcare.
• Fluent in both spoken and written English and Spanish.
• Experience in a medical practice, clinic, hospital, or outpatient healthcare environment.
• Exceptional verbal and written communication skills.
• Professional and confident phone demeanor.
• Strong customer service orientation.
• Experience with appointment scheduling and patient registration processes.
• Proficient computer skills and ability to quickly learn new healthcare systems.
• Excellent organizational and multitasking capabilities.
• Strong attention to detail and commitment to follow-through.
• Knowledge of HIPAA and patient confidentiality standards.
• Experience supporting a U.S.-based medical practice is preferred.
• Familiarity with EMR/EHR systems such as Tebra, Athenahealth, eClinicalWorks, Practice Fusion, Epic, SimplePractice, or similar platforms is preferred.
• Experience with insurance eligibility verification is preferred.
• Background in managing high-volume inbound and outbound patient calls is preferred.
• Previous remote work and experience supporting U.S. time zones is preferred.
• Reliable computer or laptop is necessary.
• Stable high-speed internet connection is required.
• Professional headset with microphone is needed.
• A quiet, distraction-free home office is essential.
• Ability to work within the specified U.S. time zone is required.
