This is a fully remote position, open to applicants in Brazil, +5 more countries.
• Manage and respond to a high volume of incoming calls from patients.
• Assess inquiries, recognize patient needs, and direct calls accordingly.
• Communicate effectively with patients in both English and Spanish.
• Conduct inbound and outbound communications utilizing RingCentral.
• Provide information regarding appointments, insurance details, clinic services, and scheduling.
• Confirm insurance eligibility, active coverage, plan benefits, and requirements.
• Identify deductibles, copays, coinsurance, and other financial responsibilities of patients.
• Calculate and convey estimated patient costs prior to scheduling.
• Detect insurance discrepancies and facilitate follow-up actions.
• Maintain precise insurance documentation and patient records.
• Organize and manage appointment scheduling.
• Collect and authenticate demographic, insurance, and intake data.
• Collaborate with the on-site clinic team.
• Offer remote front desk support and facilitate patient check-ins using a tablet or camera-based system.
• Assist with remote patient intake and registration processes.
• Navigate the EMSOW PACS, a cloud-based ultrasound imaging platform.
• Adhere to clinic workflows, documentation standards, HIPAA regulations, and confidentiality protocols.
• Prioritize tasks related to calls, scheduling, insurance verification, and front desk assistance during peak clinic hours.
• Proficient in both English and Spanish, encompassing verbal and written communication (mandatory and non-negotiable).
• Prior experience in U.S. healthcare administration, medical reception, medical scheduling, or virtual medical assistance.
• Practical experience in verifying U.S. patient insurance eligibility, coverage, and benefits.
• Capability to ascertain estimated out-of-pocket costs for patients.
• Experience handling a large volume of inbound patient calls in a medical or healthcare setting.
• Familiarity with appointment scheduling, patient inquiries, and intake duties.
• Strong comprehension of healthcare administrative workflows.
• Exceptional attention to detail, organizational skills, and multitasking capabilities.
• Ability to prioritize calls, insurance verification, scheduling, and front desk operations.
• Capacity to work independently with minimal oversight.
• Knowledge of HIPAA regulations and standards for patient confidentiality.
• Ability to work collaboratively with on-site clinic personnel.
• Must commit to working solely with the assigned practice during scheduled hours, without any overlapping employment or client obligations.
• An NBI Clearance and/or Local Police Clearance must be submitted prior to onboarding.
• Availability for camera-on video meetings as required.
• Must be present Monday through Friday, from 8:00 AM to 5:00 PM Eastern Time.
• Adherence to HIPAA-compliant work practices and patient confidentiality is essential.
• A reliable laptop or desktop computer is required.
• A stable high-speed internet connection with a minimum speed of 25 Mbps is necessary.
• A noise-canceling headset is required.
• A functioning webcam is required.
