Virtual Assistant, Transaction Analyst

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Develop and uphold precise Purchase Orders in accordance with approved purchasing specifications.

• Assess PO items, quantities, vendors, pricing, locations, and necessary fields.

• Track and refresh open POs, ensuring documentation aligns with receiving and inventory tracking.

• Generate and modify Bills of Materials, confirming components, quantities, item numbers, and units of measure.

• Manage Item Receipts for vendor, warehouse, and transfer-order shipments.

• Evaluate expected versus received quantities and resolve any discrepancies in receiving.

• Handle Build Assembly transactions for co-manufactured finished goods.

• Validate BOM components, accurately consume inventory quantities, and document finished goods.

• Record and reconcile scrap quantities from co-manufacturers and process inventory adjustments.

• Conduct monthly inventory reconciliations across systems, warehouse records, and reports.

• Examine variances, collaborate with relevant teams, process approved adjustments, and document outcomes.

⛳️ Requirements

• 1–2+ years of remote experience in inventory control, purchasing, supply chain, or transactional accounting.

• Practical experience with an ERP/inventory system; NetSuite is highly preferred.

• Exceptional attention to detail and capability to reconcile data from various sources.

• Proficient in Excel/Google Sheets, including skills in VLOOKUP and pivot tables.

• Strong written and verbal communication skills for effective coordination with co-manufacturers, warehouse, and internal teams.

• Ability to accurately manage a high volume of recurring transactions within deadlines.

• Preferred: Experience working with third-party co-manufacturers in a CPG/food & beverage sector.

• Preferred: Familiarity with BOM structures, assembly/build transactions, and inventory adjustment processes.

• Preferred: Exposure to monthly closing or reconciliation activities.
