This is a fully remote position, open to applicants in United States.
• Oversee and ensure that vendors comply with company policies, procedures, and contractual obligations.
• Keep vendor documentation and certifications up to date, ensuring renewals are processed in a timely manner.
• Manage confidential data in vendor profiles, which includes generating AP numbers and updating EFT information, insurance, and contractor documents.
• Collaborate with Sublynk to ensure compliance, including managing the Sublynk email inbox, downloading necessary documentation, and updating vendor profiles.
• Process USAA PSP code requests, verify Xactnet addresses, and review vendor profiles for compliance.
• Ensure maintenance of Certificates of Insurance, Contractor Licenses, and other essential vendor documentation.
• Address vendor queries related to membership, compliance, training, and payment procedures.
• Handle vendor concerns through email, phone, and various other communication channels.
• Review vendor files to confirm proper documentation and adherence to established protocols.
• Resolve issues related to vendor compliance, documentation, or procedures.
• Escalate more complex problems to the relevant internal teams.
• Assist Vendor Managers with compliance checks, price point history reviews, and additional vendor-related responsibilities.
• Respond to inquiries regarding payment status and timelines, addressing any discrepancies.
• Work in collaboration with finance and other departments to ensure accurate and timely payments.
• Track and document vendor issues, identifying patterns and trends.
• Generate reports on recurring issues and provide insights to management.
• Collaborate with internal teams to enhance workflows and establish updated procedures based on vendor feedback.
• Strengthen vendor relationships through effective account management and maintenance.
• Monitor service standards and inform leadership of any potential issues.
• Oversee the collection of paperwork, background check authorizations, and updates to training records.
• Execute additional responsibilities as assigned to meet team and company needs.
• Conduct daily tasks via phone calls, email communication, and system updates, with occasional travel to promote the network and represent the company.
• A High School diploma or GED is required.
• Strong skills in relationship-building, communication, and problem-solving are necessary.
• Capability to work independently as well as collaboratively in a remote setting.
• Highly organized with a keen attention to detail and analytical abilities.
• Willingness to work overtime or flexible schedules during peak periods and CAT Events.
• Ability to solve problems and apply critical thinking skills.
• Proficiency in managing conflicts in a professional and courteous manner.
• Excellent verbal, electronic, and written communication skills, along with strong customer service abilities.
• Ability to collaborate effectively with peers and all departments to achieve common organizational goals.
• Dependable in fulfilling work commitments.
• Must possess flexibility and the capability to adapt to a variety of situations.
• Proficient in utilizing technological devices, software, and applications.
• Previous experience with Microsoft Office Suites and basic computer skills is required.
• Must have a reliable high-speed home internet connection with minimum download speeds of 25 meg and upload speeds of 10 meg.
• Ability to connect to home internet using an Ethernet cord when working remotely.
• Experience in the contracting or insurance industry is preferred.
• Fully remote work arrangement.
