Travel Operations Specialist – Luxury Account

This is a fully remote position, open to applicants in India, +1 more state.

📋 Description

• Receive confirmed bookings from the Ticketing department and create or update comprehensive trip records.

• Generate invoices in FreshBooks and hold them for review by the Team Lead.

• Dispatch approved itineraries and invoices to clients via Periskope.

• Organize airport chauffeur pickups, seat selections, special meals, and other requested services.

• Confirm that payments are received and accurately recorded across internal systems.

• Verify the status of credit card, bank wire, PayPal, and cryptocurrency payments.

• Report any payment discrepancies, data mismatches, or client issues to the Team Lead.

• Maintain accurate and up-to-date client management and billing records in real-time.

• Ensure that no booking task remains unaddressed for more than 30 minutes during a shift.

• Collaborate effectively with the Team Lead, Ticketing team, and Client Service team.

⛳️ Requirements

• 1-2+ years of experience in travel operations, hospitality administration, client coordination, or a similar role focused on detailed records.

• Proficiency in creating or managing invoices using FreshBooks, QuickBooks, or comparable billing software.

• Knowledge of verifying or reconciling card, bank transfer, or digital payments.

• Strong attention to detail and accuracy across various tools, with the ability to investigate discrepancies.

• Excellent written communication skills for crafting warm and professional client messages.

• Capability to juggle multiple tasks without overlooking details during busy periods.

• Nice to have: experience with itinerary-building tools such as Travefy, Axus, TravelJoy, Tourwriter, or similar.

• Nice to have: background in luxury hospitality, premium travel, or high-touch client service.

• Nice to have: familiarity with Asana or CRM and client communication platforms.

• Nice to have: knowledge of Known Traveler Numbers and Frequent Flyer Numbers.

• Nice to have: a genuine passion for travel and creating seamless client experiences.
