This is a fully remote position, open to applicants in New York.
• Oversee the complete payroll cycle for more than 500 employees, from data collection to final approval and funding.
• Input all payroll transactions in UKG, including new hires, terminations, pay adjustments, bonuses, commissions, incentives, deductions, garnishments, and off-cycle payments.
• Ensure accurate employee profiles in UKG, covering pay, tax, direct deposit, and deduction configurations.
• Prepare and examine pre- and post-payroll audits and variance reports; address discrepancies prior to finalizing payroll.
• Execute off-cycle, manual, and final paychecks in accordance with state final-pay regulations.
• Address payroll inquiries from employees and managers in a timely and precise manner.
• Manage state and local payroll tax registrations, including new account setups, rate adjustments, and correspondence with agencies.
• Reconcile payroll tax filings and payments with payroll records and agency documentation each pay period and quarter.
• Investigate and resolve tax notices, penalties, and account discrepancies.
• Assist with Q4 and year-end closing processes, including the preparation and review of W-2 forms.
• Support pay runs during the transition from UKG to Rippling, including conducting parallel runs.
• Aid in collecting, validating, and mapping migration data, including employee records, earnings, deduction codes, tax configurations, and year-to-date balances.
• Test payroll results from Rippling against outputs from UKG.
• Document new payroll processes and controls.
• Maintain up-to-date registrations in both UKG and Rippling.
• Participate in the January transition of POA and TPA to Rippling.
• Assist in closing out the former entity in each operating state, including payroll tax account closures and final submissions.
• Collaborate with Finance on payment remittances to tax authorities and other payees.
• Monitor closure status by state and escalate any unresolved items or risks.
• 5–10 years of progressive payroll experience, with end-to-end processing for over 500 employees.
• Direct experience managing payroll in UKG (UKG Pro).
• Experience with multi-state payroll, including state and local tax registration, filings, and reconciliation.
• In-depth knowledge of federal, state, and local payroll regulations, including final-pay requirements.
• Proven capability in reconciling payroll registers, tax filings, and general ledger entries.
• Advanced Excel proficiency (including VLOOKUPs and pivot tables) for audits and reconciliations.
• Strong attention to detail, sound judgment regarding confidential data, and the ability to meet established payroll deadlines.
• Preferred: Experience with Rippling or similar payroll system implementation or conversion.
• Preferred: Experience in closing out an entity, including payroll tax account closures across multiple states.
