This is a fully remote position, open to applicants in Canada.
• Coordinate high-volume and intricate interview schedules across various time zones.
• Act as a primary contact for candidates throughout their interview journey.
• Collaborate with recruiters, hiring managers, and interviewers to address scheduling needs, modifications, and last-minute adjustments.
• Resolve scheduling conflicts and coordination issues effectively.
• Maintain candidate and interview information in the ATS, ensuring records are precise and current.
• Provide administrative and operational assistance throughout the recruiting lifecycle, including onboarding preparations and other talent acquisition-related tasks.
• Identify ways to enhance scheduling workflows, processes, and the experiences of candidates and stakeholders.
• Contribute to talent initiatives such as employer branding, talent communities, university recruiting, and special projects.
• Support Optro’s AI-driven GRC Intelligence Platform by facilitating efficient talent acquisition operations.
• Must reside on the East Coast and be willing and able to adjust to support EMEA time zone.
• Minimum of 1 year of experience as a Recruiting Coordinator or in a similar coordination or administrative support position.
• Proven experience in coordinating complex schedules across multiple time zones and supporting globally distributed teams.
• Capability to manage multiple priorities, adhere to tight deadlines, and handle last-minute changes with precision and urgency.
• Strong organizational abilities and exceptional attention to detail.
• Excellent interpersonal and communication skills.
• Strong problem-solving capabilities and the ability to navigate scheduling conflicts and evolving priorities.
• Dedication to providing a seamless, high-quality experience for candidates and internal stakeholders.
• High degree of discretion and professionalism when dealing with sensitive and confidential information.
• Proficient in Google Workspace and/or Microsoft Office.
• Practical experience with applicant tracking systems such as Ashby, Greenhouse, or Lever.
• Background checks are mandatory.
