This is a fully remote position, open to applicants in Poland.
• Manage the complete scheduling process for interviews across various calendars, time zones, and panels.
• Ensure timely completion of interviewer feedback and follow up on any outstanding scorecards.
• Oversee each phase of the hiring process, identify bottlenecks, and engage stakeholders to facilitate the progression of candidates efficiently.
• Assist both internal and external recruiters located in the US, Poland, and Ireland with daily coordination, administrative tasks, and process requirements.
• Collaborate with the HR Business Partner and People Operations team during the transition from offer acceptance to the candidate's first day.
• Serve as a primary contact for candidates, providing clear and prompt communication throughout the hiring process.
• Keep accurate and current records in the applicant tracking system, including candidate statuses, interview notes, and changes in stages.
• Aid in preparing recruitment metrics and reports on pipeline health, time-to-fill, and any delays.
• Identify opportunities and assist in implementing enhancements to scheduling and coordination workflows.
• Work closely with hiring managers, recruiters, and People Operations across various regions, adapting to different styles and time zones.
• Over 1 year of experience in recruitment coordination, HR, or a fast-paced administrative/operations role.
• A proactive 'can-do' attitude—someone who takes initiative, follows through, and doesn't wait for direction.
• Ability to operate with limited information, make sound judgment calls, and keep processes moving even when details are incomplete.
• Exceptional organizational skills, demonstrated ability to manage personal workload while assisting in organizing others' work across multiple priorities.
• Proficient in English, both written and verbal, with a clear, professional, and friendly communication style suitable for candidates, interviewers, and leadership.
• Strong attention to detail, especially regarding scheduling accuracy, data entry, and consistent adherence to processes.
• A sense of urgency and dependability—someone who follows up, pursues tasks, and ensures things do not stagnate.
• Familiarity with applicant tracking systems (ATS), scheduling tools, or HR software.
• Experience in supporting hiring or HR processes in multiple countries or regions.
• Background in a high-growth startup environment, adept at navigating changing processes as the business expands.
• Knowledge of the insurance or InsurTech sector is advantageous but not mandatory.
• A dedication to providing exceptional customer service to both internal and external clients.
