Strategic Initiatives Specialist

This is a fully remote position, open to applicants in Texas.

📋 Description

• Implement centrally developed technologies, tools, templates, and processes at specific veterinary hospital locations.

• Populate systems, migrate data, and carry out system configuration and setup tasks.

• Complete assigned responsibilities for technology implementations, system conversions, and program rollouts on time.

• Directly communicate with hospital teams during implementation and offer troubleshooting assistance.

• Maintain accurate system data and configurations as new veterinary hospitals are established or existing ones undergo changes.

• Act as a reliable resource for veterinary hospital teams utilizing Strategic Initiatives programs and technology.

• Address inquiries and requests related to practice management systems, phone systems, client engagement tools, AI solutions, and other supported applications.

• Independently troubleshoot and resolve site-specific issues whenever feasible.

• Escalate issues that require system-level, policy, or centralized modifications.

• Monitor site-level performance and identify areas for improvement.

• Analyze metrics such as appointment reminder compliance, call handling, virtual assistant effectiveness, and appointment bookings.

• Identify hospitals that require additional training, support, or follow-up.

• Provide feedback and suggestions to enhance future implementations.

• Maintain project trackers, hospital records, implementation timelines, and status updates.

• Offer leadership visibility into project progress, challenges, and pending items.

• Create reusable documentation, process guides, and job aids.

• Document solutions for replication across multiple veterinary hospitals.

• Communicate with hospital managers, regional leaders, and cross-functional partners.

• Provide frontline support for PIMS, Weave phone systems, and AI-enabled virtual assistants.

• Cultivate deeper expertise in a primary focus area while supporting fellow Strategic Initiatives team members.

• Highly detail-oriented with the capability to manage multiple projects, priorities, and hospital requests simultaneously.

• Comfortable navigating ambiguity and resolving issues without always having preset solutions.

• Strong proficiency in Microsoft Excel and documentation practices.

• Ability to work independently while proactively updating on project status, challenges, and requirements.

• Excellent written and verbal communication abilities.

• Professional, service-oriented demeanor when interacting with veterinary hospital teams and leaders.

• Quick adaptability to new software and technology platforms.

• Ability to clearly explain technology, workflows, and processes to others.

• Strong organizational skills and commitment to follow-through.

• Ability to prioritize competing deadlines in a fast-paced, multi-site setting.

• Experience in the veterinary, animal health, healthcare, medical, or pet care sectors (preferred).

• Experience assisting multi-site, multi-location, franchise, or consolidator organizations (preferred).

• Practical experience with a veterinary practice management system (PIMS) (preferred).

• Familiarity with veterinary software, cloud-based phone systems, client communication platforms, appointment scheduling technologies, or AI tools (preferred).

• Background in technology implementations, system conversions, process improvement, or project coordination (preferred).

• Experience in training or supporting end users on new software or technology (preferred).
