Sourcing Manager

This is a fully remote position, open to applicants in Texas.

📋 Description

• Oversee daily sourcing and procurement activities for ingredients, packaging, and branded merchandise.

• Assist in supplier qualification, material compliance, cost management, risk mitigation, and sourcing for new product launches.

• Source and manage both primary and secondary packaging, ensuring coordination of specifications, artwork revisions, testing, approvals, costs, and launch timelines.

• Source branded merchandise, promotional items, gift sets, and retail display materials while overseeing vendors, samples, approvals, timelines, and budgets.

• Manage purchasing from planning through the purchase-order closeout phase, balancing production requirements, MOQs, lead times, pricing, inventory, and cash considerations.

• Sustain supplier relationships, maintain commercial records, visibility of supplier performance, risks, pricing, and contractual commitments.

• Collaborate with Quality to uphold supplier documentation, including COAs, specifications, certifications, compliance requirements, and approved supplier records.

• Address quality and sourcing risks, deviations, corrective actions, single-source risks, and backup supplier options.

• Keep track of cost trackers, monitor price fluctuations, conduct RFQs, compare supplier quotes, identify savings opportunities, and implement approved cost-saving measures.

• Negotiate pricing, MOQs, lead times, and payment terms.

• Assess total landed costs with Finance, factoring in freight, duties, tariffs, and other cost components.

• Oversee purchase orders from creation and acknowledgment through revisions, shipment, reconciliation, receipt, and closeout.

• Convert demand and production plans into purchasing decisions while considering MOQs, lead times, tiered pricing, inventory levels, and cash needs.

• Coordinate the onboarding of suppliers, including handling W-9s, banking information, credit applications, COIs, vendor setup, and item master setup.

• Ensure the accuracy of vendor master, item costs, purchase orders, and invoices.

• Manage deposits, milestone payments, payment terms, AP timing, and 3-way match exceptions in collaboration with Finance.

• Monitor inbound orders and necessary supplier and freight documentation, including confirmed, late, and at-risk orders.

• Maintain supplier records, including pricing and contract terms, scorecards, KPIs, renewal dates, volume commitments, and initiatives for continuous improvement.

• Report to the Supply Chain Manager and collaborate with teams in Supply Chain, Quality, Finance, Marketing, and Retail.

⛳️ Requirements

• A minimum of 5 years of experience in sourcing, procurement, supply chain, or a related operations role.

• Experience in the food, beverage, or supplement industry is advantageous.

• Practical experience in purchasing materials and engaging directly with suppliers, including international or overseas vendors.

• Proficient in Excel or Google Sheets, including lookups and pivot tables, with the capability to create cost comparisons from raw supplier quotes.

• Highly organized and detail-oriented, capable of managing numerous open items and competing priorities.

• Excellent written communication skills and proficiency in managing supplier relationships primarily through email across multiple time zones.

• Comfortable working in a dynamic environment where processes may still be in development.

• Eager and able to learn about specifications, COAs, Incoterms, duties, and cGMP fundamentals.

• Familiarity with 3-way match processes and accounts payable coordination.

• Understanding of California Proposition 65 requirements and their implications for sourcing, supplier compliance, documentation, and labeling.

• Proactive in addressing supplier, cost, quality, and inventory challenges.

• Experience sourcing functional ingredients or nutraceuticals is a plus.

• Background with suppliers in China, India, or Southeast Asia is beneficial.

• Experience with ERP or inventory management systems is a plus.

• Familiarity with Incoterms, international freight, customs, and considerations for landed costs is advantageous.

• Experience supporting sourcing or procurement within a rapidly growing consumer brand is a plus.
