Senior Restoration Account Coordinator

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Develop and oversee project budgets and takeoffs in Sage, utilizing the appropriate cost codes, cost types, and project margins.

• Convert Xactimate estimates and budgets provided by Operations into the system.

• Track project costs, contract values, committed work, and available budgets.

• Detect discrepancies and implement budget modifications as needed.

• Discuss project financial activities with Project Managers and Operations to ensure projects remain within budget and margin expectations.

• Manage subcontractor and vendor billing and payments, which includes handling invoices, lien waivers, ACH details, approvals, corrections, and necessary documentation.

• Oversee payment statuses and resolve any billing issues that arise.

• Liaise with subcontractors and Accounts Payable on outstanding items, accruals, or payment exceptions.

• Process subcontractor change orders for accuracy, completeness, coding, and approval.

• Keep change order logs and supporting documents updated.

• Prepare and input prime contract change orders in Sage, confirm pricing and margins, and route client documents through DocuSign.

• Act as the primary accounts receivable contact for assigned Restoration projects.

• Conduct client follow-ups, monitor payment statuses, manage outstanding balances, and oversee collection efforts.

• Keep track of project-specific and state-specific lien deadlines and communicate upcoming due dates.

• Escalate high-risk receivables or payment challenges to management.

• Gather, review, and maintain project financial data for WIP reporting, including costs, contract values, change orders, billings, and margins.

• Progress towards independently managing the Restoration WIP process.

• Review and support MRP billing, including the classification and processing of Type 1 and Type 2 jobs.

• Assist with client and lender communication regarding supplements, owner change orders, insurance billing, and ACV/RCV processes.

• Serve as a financial resource for the Restoration department.

• Aid in tracking MIT project bonuses and maintaining supporting documentation.

• Organize project records and proactively address financial or administrative issues impacting project execution or cash flow.


⛳️ Requirements

• 3 to 5 years of experience in construction accounting, restoration, project administration, or a related field.

• Strong grasp of construction financial principles, including project budgets, cost codes, margins, change orders, subcontractor billing, accounts receivable, and WIP reporting.

• Experience with Sage and Xactimate is highly preferred.

• Familiarity with restoration insurance processes, including ACV/RCV and insurance estimating is preferred.

• Exceptional attention to detail, organization, and accuracy when handling financial and project data.

• Strong written and verbal communication skills, with the ability to interact effectively with clients, subcontractors, Project Managers, Operations, and Accounting.

• Capability to identify issues, research solutions, and proactively follow through to resolution while managing multiple projects and deadlines concurrently.

• Ability to manage sensitive financial and project information with professionalism and discretion.

• Experience with QuickBooks, Smartsheet, Acumatica, SAP, or similar systems.

• Additional education or training in accounting, construction, or business is a plus.

• Background in multifamily property restoration or insurance-related construction billing is advantageous.

• Updated resume is required.

• A brief Loom video (1 to 2 minutes) is required, detailing construction accounting or restoration billing experience and explaining the management of project budgets and accounts receivable across multiple active projects.
