This is a fully remote position, open to applicants in Alabama, +9 more states.
β’ Oversee strategic responses to Requests for Qualifications and Requests for Proposals across all divisions and offices of the company.
β’ Co-manage proposal activity timelines, document development, coordination of activities, and organization alongside the Proposal Manager.
β’ Maintain qualification documents, manage access to third-party verifications, and ensure corporate compliance information is up-to-date.
β’ Collaborate with Legal/Contracts, Finance and Accounting, Safety, Quality, Marketing, Business Development, Operations, and other corporate departments.
β’ Analyze RFI/RFP requirements and translate them into timely, compliant, and strategically responsive documents.
β’ Organize kickoff, status, review, and management meetings.
β’ Develop response templates and oversee the progression of working drafts through to final review.
β’ Delegate tasks and areas of responsibility to proposal contributors.
β’ Conduct progress meetings and monitor the development of responses.
β’ Create compliance checklists and matrices.
β’ Incorporate, edit, and generate content from internal sources and subject-matter experts.
β’ Provide and adapt corporate marketing materials for inclusion in proposals.
β’ Execute desktop publishing, formatting, proofreading, and visual design tasks.
β’ Coordinate the submission and delivery of responses, including third-party uploads, printing, binding, and shipping.
β’ Assist with strategic and bid/proposal-related tasks as well as internal requests.
β’ Maintain opportunity schedules and compile data for weekly Capture Management and Opportunity reports.
β’ Monitor the Qualifications and Proposals inbox and transfer client documents to Microsoft Teams channels or servers.
β’ Sustain the firmwide content library and manage Teammate resumes.
β’ A Bachelor of Arts degree in Marketing, Public Relations, Communication, or a related field is required.
β’ A minimum of 7 years of marketing or proposal experience in a professional setting.
β’ Knowledge and experience in the marketing, business development, and/or proposal fields.
β’ Excellent planning, time management, and organizational abilities.
β’ High proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Microsoft Teams, SharePoint, Microsoft Dynamics, Adobe Acrobat, and other relevant tools.
β’ Strong attention to detail with a solid command of English grammar and spelling.
β’ Ability to collaborate effectively within a team to achieve objectives, including working with remote colleagues.
β’ Strong verbal and written communication skills.
β’ Exceptional interpersonal skills, with the ability to maintain effective working relationships with colleagues, clients, and vendors.
β’ A strong work ethic with a readiness to take responsibility for a diverse range of duties.
