Senior Operations Specialist

This is a fully remote position, open to applicants in Tennessee.

📋 Description

• Assist the Vice President of Operations in planning and executing essential operational priorities and special projects.

• Transform leadership priorities into actionable project plans, timelines, responsibilities, and deliverables.

• Facilitate cross-departmental projects that engage corporate departments and facility teams.

• Monitor milestones, deadlines, action items, and risks, and help to eliminate obstacles.

• Aid in facility openings, operational transitions, new program implementations, and growth initiatives.

• Create reports, presentations, executive summaries, and materials to support operational decision-making.

• Detect workflow gaps, operational inefficiencies, and areas for improvement to enhance consistency across facilities.

• Design and maintain SOPs, workflows, checklists, playbooks, templates, job aids, and other operational resources.

• Assist in the deployment of systems, processes, policies, programs, and operational initiatives.

• Collaborate with subject-matter experts to devise solutions that enhance efficiency, quality, and accountability.

• Facilitate communication, training, and change-management initiatives.

• Oversee implementation and adoption, recommending necessary adjustments.

• Analyze operational, productivity, staffing, financial, quality, and compliance data.

• Develop dashboards, scorecards, reports, and monitoring tools for leadership use.

• Assist in staffing, resource allocation, productivity, and operational planning.

• Assess operational initiatives using performance metrics.

• Prepare summaries that highlight findings, risks, and recommendations.

• Support regulatory compliance, accreditation, licensing, and readiness for surveys.

• Review facility processes and documentation to ensure alignment with organizational and regulatory standards.

• Aid in audits, readiness assessments, facility inspections, and follow-up on corrective actions.

• Keep track of regulatory deadlines, licensing requirements, and compliance deliverables.

• Assist with licensing applications, renewals, CLIA waiver applications, Certificate of Need submissions, and other regulatory filings.

• Convert regulatory requirements into practical processes and tools for facility teams.


⛳️ Requirements

• Preferred bachelor’s degree in Healthcare Administration, Business Administration, Public Administration, Human Services, or a related field; relevant professional experience may substitute for a degree.

• At least two years of relevant experience in healthcare operations, project management, compliance, quality, consulting, or a related field is preferred.

• Strongly preferred experience in behavioral health or substance use disorder treatment.

• Preferred experience in coordinating cross-functional projects or operational initiatives.

• Preferred experience in process improvement, implementation, SOP development, or workflow design.

• Preferred experience in analyzing operational, staffing, financial, quality, or compliance data.

• Working knowledge of healthcare regulatory requirements, accreditation standards, or operational compliance is preferred.

• Strong skills in Microsoft 365, including Excel, PowerPoint, Word, Outlook, Teams, and SharePoint.

• Strong Excel abilities, including formulas, pivot tables, data organization, and reporting tools, are strongly preferred.

• Preferred experience with Power BI or other data visualization tools.

• Excellent analytical, organizational, project management, and problem-solving skills.

• Exceptional written and verbal communication skills.

• Strong attention to detail, initiative, judgment, adaptability, and follow-through.

• Ability to work independently in a remote setting while fostering strong cross-functional collaboration.

• Preferred ability to work primarily during Eastern Time Zone business hours.

• Travel to facilities, regulatory meetings, facility openings, and other business-related locations may be necessary.

• Occasional work outside of standard business hours may be required.
