This is a fully remote position, open to applicants in California.
• Act as the main point of contact for inquiries and requests related to Marcomms operations.
• Oversee daily prioritization conflicts across departments and suggest trade-offs.
• Manage projects involving interdepartmental communication and collaboration.
• Develop and uphold workback timelines and scheduling systems for campaigns and initiatives.
• Identify dependencies, highlight deadline risks, and align stakeholders across functions.
• Process and monitor vendor and contractor invoices in relation to project budgets and Service Request Forms.
• Keep centralized trackers for vendor and contractor agreements, deliverables, acceptance status, and invoicing eligibility.
• Lead daily vendor coordination and negotiation within set guidelines.
• Assist in managing merchandise production timelines, quality checks, and delivery.
• Oversee departmental project timelines and communicate any changes to stakeholders.
• Standardize and enhance project management processes and tools, such as Airtable and Asana.
• Evaluate departmental project efficiency, identify bottlenecks, and track efficiency KPIs.
• Provide support for in-person meetings and on-site logistics.
• Communicate with executives, partners, members, and clients as a representative of Growth Marketing.
• Collaborate with artist management and PR representatives for special campaigns and offer onsite production support.
• Handle inbound and outbound meeting requests and invitations.
• Manage vendor, consultant, and contractor invoices, along with coding and cataloging expenses.
• Assist in expense documentation and payment schedule communication with Finance & Accounting.
• Supervise travel, parking, per diem requests, and credentialing for Grammy Week events.
• Coordinate with credentialing and ticketing teams.
• Support show ticket requests for relevant vendors and partners.
• Aid in project management for Grammy House and Artist Showcases, including guest list curation, logistics, and check-in.
• Fulfill additional Grammy event preparations and key initiative responsibilities as assigned.
• Bachelor’s degree in marketing, communications, business, or a related field, or equivalent work experience.
• 4+ years of relevant work experience, including familiarity with budget tracking, vendor coordination, or project management tool administration.
• Prior experience in a creative agency or marketing/entertainment setting within the music industry is preferred.
• Proven experience in creating workback schedules and campaign timelines.
• Background in coordinating vendor/contractor agreements.
• Experience in resolving cross-functional resourcing conflicts.
• Familiarity with supporting or standardizing project management processes or tools.
• Excellent professional and personable communication skills.
• Experience representing a department or function to senior executives and external partners.
• Strong proficiency in MS Office and project management software like Airtable, Asana, or similar platforms.
• Exceptional attention to detail and demonstrated analytical skills.
• Ability to operate independently on daily tasks while consulting with leadership on significant decisions.
• Capacity to occasionally stand, walk, and sit for extended periods and work at a computer for prolonged durations.
• Capability to lift and/or move up to 60 pounds.
• Temporary position expected to last up to six months.
