This is a fully remote position, open to applicants in Massachusetts.
• Manage the complete promotional speaker program operations from initial planning to execution, reconciliation, documentation, and closure.
• Supervise vendor performance in areas such as logistics, attendee management, reporting, documentation, and service delivery.
• Evaluate vendor performance against established expectations, timelines, KPIs, and SLAs; identify potential risks and facilitate resolutions.
• Ensure that programs adhere to SOPs, business processes, contractual obligations, and compliance standards.
• Oversee speaker bureau operations, which include onboarding, coordinating contracts, maintaining fair market value documentation, training requirements, utilization tracking, and administrative tasks.
• Handle speaker program exception requests by coordinating reviews, tracking, documenting, resolving issues, and following up.
• Validate and reconcile speaker-related expenses to support overall spending reports.
• Maintain thorough, accurate, and audit-ready documentation while supporting quality assurance reviews.
• Submit materials for the speaker program into Veeva and manage updates, re-approvals, and availability.
• Create and maintain trackers, dashboards, reports, and operational metrics.
• Analyze data regarding activity, utilization, training, compliance, and vendor performance to uncover trends and make recommendations.
• Lead efforts on speaker program portals, vendor systems, data interfaces, troubleshooting, and system enhancements.
• Offer operational guidance and subject matter expertise to field personnel.
• Manage communications with stakeholders, training efforts, and change management initiatives.
• Drive cross-functional follow-ups on program issues, open items, and operational risks.
• Support broader Commercial Operations initiatives, including fleet management, stipends, and pharmaceutical sample distribution programs.
• Assess processes for opportunities in standardization, simplification, automation, and ongoing improvement.
• Bachelor's degree from an accredited institution.
• A minimum of 6 years of relevant experience in compliance, healthcare, life sciences, or a related field.
• In-depth knowledge of healthcare compliance regulations, including FDA guidelines, the PhRMA Code, and the Anti-Kickback Statute.
• Strong analytical and organizational capabilities.
• Excellent communication and collaboration abilities.
• Detail-oriented individual capable of managing multiple tasks simultaneously.
• Proficiency in Microsoft Office applications, including Excel, PowerPoint, Word, and Teams.
• Willingness and ability to travel up to 30% domestically, with potential for international travel.
• Preferred: experience in auditing, monitoring, or compliance investigations.
• Preferred: familiarity with working with data sets and reporting tools.
• Preferred: basic experience in project coordination.
• Preferred: knowledge of document management systems and compliance tools.
• Preferred: intermediate proficiency in Excel.
