This is a fully remote position, open to applicants in Illinois.
• Plan and implement assigned meetings, conferences, incentive programs, and corporate events that align with business goals and event strategies.
• Create project plans, timelines, communication strategies, and execution frameworks.
• Collaborate with business stakeholders and cross-functional teams to enhance event objectives and attendee experiences.
• Suggest process enhancements and contribute to best practices in event management.
• Oversee room blocks, housing coordination, attendee accommodations, and related reporting tasks.
• Manage venue operations, space planning, meeting room layouts, food and beverage needs, signage, transportation, and accessibility.
• Assist with venue sourcing, contract review, negotiation, and supplier management.
• Handle rooming lists, Banquet Event Orders, and venue specifications.
• Administer approved event budgets, monitor expenses, forecast costs, track variances, and identify opportunities for savings.
• Supervise invoice processing, contract compliance, and financial reconciliations.
• Compile budget updates, variance reports, and reconciliation summaries for leadership review.
• Support onsite event operations and address significant risks as they arise.
• Coordinate with vendors, contractors, temporary staff, and onsite resources.
• Manage VIP and executive experiences, speaker logistics, crisis response, and real-time issue resolution.
• Ensure adherence to safety protocols, risk management standards, and organizational policies.
• Share best practices in event management and assist in the development of team capabilities.
• Bachelor's degree in Event Management, Hospitality, Marketing, Communications, Business Administration, or a related field; equivalent professional experience will be considered.
• 4-6+ years of progressively responsible experience in managing corporate meetings, conferences, incentive programs, or experiential events.
• Proven experience managing multiple events simultaneously, including logistics, budgets, vendors, and onsite execution.
• Familiarity with venue sourcing, contract negotiation, housing management, registration management, supplier management, and event procurement processes.
• Experience in developing, managing, and reconciling event budgets.
• Proficient in event technology platforms, including Cvent, registration systems, mobile event applications, reporting tools, and related event technologies.
• Strong skills in project management, organization, problem-solving, communication, and stakeholder management.
• Ability to stay composed, adaptable, and solution-oriented while handling competing priorities in fast-paced, high-visibility environments.
• Willingness and ability to travel domestically and internationally, including occasional evenings and weekends.
• Must possess a valid passport or be eligible and legally authorized to obtain one for international business travel.
• Must be able to primarily work within Central or Eastern Time business hours.
