This is a fully remote position, open to applicants in United States.
• Lead initial client implementations while developing scalable processes, tools, documentation, and team structure.
• Take ownership of the client launch experience, managing everything from post-sale handoff to kickoff, discovery, configuration, data readiness, testing, training, go-live, and early post-launch support.
• Create implementation processes, templates, checklists, discovery guides, launch plans, training materials, and handoff standards.
• Establish criteria for launch success and set standards for launch readiness.
• Monitor implementation status, risks, open items, client readiness, dependencies, scope, timelines, and milestones.
• Lead client implementations from kickoff through to go-live and initial adoption.
• Act as the primary implementation owner and escalation point.
• Facilitate kickoff calls, discovery sessions, workflow reviews, status meetings, training sessions, and launch readiness assessments.
• Conduct discovery to comprehend client goals, processes, roles, workflows, data, reporting needs, and success criteria.
• Convert client requirements into actionable implementation steps and configuration decisions.
• Oversee client setup, including users, roles, permissions, workflows, forms, templates, notifications, dashboards, and documents.
• Develop quality checks and test plans; organize client testing and track defects, questions, and modifications.
• Manage data readiness, mapping, validation, imports, employee records, organizational structures, and associated setup items.
• Coordinate integrations, data exchanges, user provisioning, SSO, SFTP, APIs, and other supported connection methods.
• Troubleshoot setup, access, data, workflow, and integration issues; escalate technical blockers while maintaining client communication.
• Design and deliver role-specific training and create training materials, quick-reference guides, communication templates, and documentation.
• Provide support on launch day and in the early post-launch phase; track adoption risks and training gaps.
• Ensure a seamless transition to Client Success and Account Management.
• Collaborate with Product, Engineering, Operations, Client Success, Support, Sales, and Compliance teams to address blockers and enhance implementations.
• Document implementation risks, product gaps, and opportunities for improvement.
• Develop a scalable plan for the implementation function as client demand increases.
• 7+ years of experience in SaaS implementation, client onboarding, professional services, customer success operations, HR technology, workforce technology, background screening, compliance operations, or a similar client-facing role.
• 3+ years of experience leading complex client implementations, implementation teams, or cross-functional launch programs.
• Proven experience managing multiple client launches or implementation projects concurrently.
• Experience in gathering requirements, documenting workflows, and translating client needs into system setups or implementation tasks.
• Familiarity with supporting data migration, data mapping, record transfers, system transitions, or setups from prior client systems.
• Experience collaborating with technical teams on integrations, data imports, data mapping, user provisioning, SSO, APIs, SFTP, or system-to-system handoffs.
• Proven ability to create implementation playbooks, project plans, training materials, process documentation, or launch frameworks.
• Excellent client-facing communication skills, including leading discussions with senior clients and managing escalations.
• Strong project management, organizational, documentation, and follow-through abilities.
• Capability to thrive in a growing product environment where processes may not be fully established.
• Must have a dedicated workspace that is conducive to focused work.
• Must have stable, secure, high-speed internet access.
• Must ensure adequate lighting and minimal background noise for professional video calls.
• Ability to work effectively in a remote environment.
• Capacity to remain stationary for extended periods while working on a computer.
• Ability to lift and carry up to 5 pounds occasionally.
• Project management certification or experience with formal implementation methodologies is advantageous but not mandatory.
• Preferred: direct experience with implementing HCM, HRIS, onboarding, workforce management, employee records, payroll-adjacent, or related HR technology solutions.
• Preferred: experience in employment screening, background checks, drug screening, workforce compliance, document management, workflow automation, or similar operational systems.
• Preferred: familiarity with Salesforce, HubSpot, Jira, Zendesk, Smartsheet, Monday.com, Excel, Google Sheets, Confluence, Lucidchart, or comparable systems.
