This is a fully remote position, open to applicants in California.
β’ Take full ownership of every live program from the initial client kickoff to attendee follow-up, budget reconciliation, and results reporting.
β’ Create target attendee lists utilizing audience and npiQ data while managing attendance objectives.
β’ Conduct client kickoffs, status calls, manage change requests, and oversee client communications.
β’ Foster relationships with Key Opinion Leaders (KOLs) and clinical partners while developing innovative program concepts.
β’ Develop and oversee program budgets, negotiate contracts with venues and vendors, and ensure budget reconciliation.
β’ Monitor attendance, target-doctor engagement, and attendee feedback; provide results reports and renewal suggestions.
β’ Convert client goals into event formats, target audiences, faculty selections, agendas, dates, times, and locations.
β’ Source venues and manage services from caterers, audiovisual teams, transportation, photographers, video production companies, and other vendors.
β’ Coordinate scheduling for faculty and KOLs, including travel arrangements, briefing materials, and honoraria.
β’ Handle invitations, RSVPs, reminders, confirmations, signage, presentation slides, and printed materials.
β’ Develop event plans with detailed schedules, contact information, KOL biographies, run-of-show documents, and onsite assignments.
β’ Oversee onsite execution involving staff, vendors, faculty, and clients.
β’ Manage hybrid programs, virtual advisory boards, webinars, and virtual roundtables.
β’ Coordinate streaming arrangements, remote faculty logistics, platform setups, faculty preparation, and attendee management.
β’ Extend live programs into digital content and facilitate integrated live and digital deliverables.
β’ Oversee logistics for doctor video shoots, managing locations, contracts, scheduling, travel, accommodations, catering, and transportation.
β’ Maintain program plans and communication logs in ClickUp.
β’ Organize team dinners, company events, off-site gatherings, and informal KOL meet-ups.
β’ Travel up to 50% of the time and provide onsite support at major eyecare conferences.
β’ At least 5 years of experience in planning and executing live events, with a minimum of 3 years in healthcare, pharma, medtech, or a healthcare agency.
β’ Direct experience managing HCP programs, including doctor dinners, advisory boards, and speaker programs.
β’ Proven history of owning client relationships and managing program budgets rather than merely executing existing plans.
β’ Strong negotiation skills and experience with vendor contracts.
β’ Willingness to travel up to 50%, including evenings and weekends.
β’ Bachelor's degree or equivalent professional experience.
β’ Familiarity with ophthalmology or optometry, along with established relationships with eyecare KOLs.
β’ Knowledge of major eyecare meetings and their operational frameworks.
β’ Experience with platforms for virtual advisory boards, webinars, and hybrid events.
β’ Background in coordinating logistics for video shoots or on-location productions.
β’ Proficiency in ClickUp or a similar project management tool.
