This is a fully remote position, open to applicants in Virginia.
• Serve as the main point of contact between clients, internal stakeholders, and production teams.
• Oversee projects including scheduling, gathering job details, tracking progress, invoicing, and optimizing processes.
• Coordinate the daily execution of Creative Services projects and establish objectives.
• Foster proactive communication with clients and provide updates on project status.
• Handle multiple timelines and projects throughout their life cycle.
• Input job specifications using job-management software and prioritize tasks to align with client expectations.
• Organize and participate in client meetings, production calls, and project management status discussions.
• Deliver pre-production services and manage the order entry process.
• Create timely and precise job instructions for production.
• Track order progress, address scheduling issues, and handle requests for additional information or materials.
• Ensure prompt resolution and escalation of production-related challenges.
• Identify and promote opportunities for continuous improvement.
• Oversee page production services and communicate performance metrics to customers.
• Inform customers when page and proofing cycles surpass agreed-upon limits.
• Enhance customer retention, loyalty, satisfaction, and service excellence.
• Collaborate with offsite Creative/Production teams and customers.
• Bachelor's degree in a related field or equivalent professional experience.
• 5+ years of project management experience or similar roles with progressively increasing responsibilities.
• Background in the pre-media and/or print industry is preferred but not mandatory.
• Proficient in Mac computer skills.
• Capacity to learn new software and platforms.
• Ability to provide basic troubleshooting support.
• Experience utilizing continuous improvement tools to develop and monitor metrics.
• Familiarity with workflows, digital asset management, problem-solving, workflow procedures, and quality control.
• Strong project management, organizational, and time-management capabilities.
• Demonstrated success in building strong client relationships and delivering solutions.
• Excellent written and verbal communication and presentation skills.
• Ability to manage multiple projects in a fast-paced environment.
• Experience collaborating with cross-functional teams both internally and client-side.
• Knowledge of administrative software, including Microsoft Office (Excel, Word, PowerPoint).
• Basic understanding of design or development software such as Adobe Creative Suite (InDesign, Illustrator, Photoshop, Acrobat) is a plus but not required.
• Ability to work autonomously and handle high volumes of information in stressful situations.
• Willingness to work standard office hours, with the possibility of occasional after-hours work to meet deadlines.
