This is a fully remote position, open to applicants in Canada.
• Manage a high volume of inbound and outbound calls to arrange, modify, or cancel patient appointments across various specialties.
• Accurately capture and verify complete patient demographic and insurance information during the scheduling process.
• Conduct basic real-time insurance eligibility checks and inform patients about copays, outstanding balances, or necessary referrals/prior authorization before their appointment.
• Follow provider-specific scheduling templates, visit-type regulations, and clinical guidelines to enhance clinical workflow and capacity utilization.
• Make outbound reminder calls, follow up on missed appointments or no-shows, and manage recall waitlists to ensure provider calendars remain full.
• Address patient inquiries, handle sensitive situations with empathy, and appropriately escalate more complex issues.
• Ensure compliance with HIPAA regulations, patient privacy laws, and IKS/White-Wilson operational standards.
• Achieve or surpass daily performance metrics related to call handling time, scheduling accuracy, quality assurance scores, and attendance.
• High school diploma or equivalent is mandatory.
• A minimum of 1 year of experience in a healthcare contact center, medical scheduling, or patient access role is required.
• Knowledge of medical terminology, various insurance types (Commercial, Medicare, Medicaid), and fundamental RCM concepts is essential.
• Proficiency in using Electronic Health Record (EHR) and Practice Management (PM) scheduling software.
• Excellent phone etiquette, active listening skills, and a compassionate approach to patient care.
• High level of accuracy in data entry for patient registration and insurance information capture.
• Capability to manage anxious or frustrated patients with poise and professionalism.
• Ability to navigate multiple software applications simultaneously in a fast-paced environment.
• Strong self-management abilities in a high-volume call center setting (remote).
