This is a fully remote position, open to applicants in United States.
• Collaborate with the Executive Search Team to grasp hiring requirements, priorities, and timelines.
• Organize intricate interview schedules across various time zones, stakeholders, and executive calendars.
• Oversee scheduling for virtual, in-person, panel, and executive interviews.
• Guarantee a smooth experience for all interview participants.
• Ensure that candidate interactions display professionalism, outstanding service, and meticulous attention to detail.
• Manage scheduling conflicts and last-minute adjustments with professionalism, discretion, and urgency.
• Allocate over 25% of your time to candidate identification, applicant evaluations, and market research.
• Contribute to ongoing improvement and innovation in systems, services, and processes.
• Act as the primary contact for high-level positions on a global scale.
• Work closely with Executive Recruiters, Sourcers, candidates, hiring managers, and their teams.
• Report to the Talent Knowledge Manager as part of the Talent Acquisition and Executive Search Teams.
• Bachelor’s degree and 3 years of HR-related experience or a comparable combination of education and experience.
• Proven experience in managing multiple calendars, coordinating and scheduling meetings or interviews, arranging travel and accommodations, managing reimbursements, and setting up virtual meetings across different time zones.
• Ability to establish credibility, trust, and collaborative relationships with recruiters, candidates, and senior leadership through effective communication, responsiveness, and stakeholder support.
• Experience in maintaining files, processing paperwork, and performing data entry or similar tasks.
• Ability to respond effectively to employee or customer inquiries.
• Proficiency with MS Office applications, Box, and applicant tracking systems or database software.
• Experience in constructing and generating reports, including data input, manipulation, and analysis.
• Background in training or mentoring.
• Capability to perform well under pressure and meet tight and changing deadlines.
• Experience in handling confidential and sensitive information.
• Skilled in multi-tasking, being resourceful, and demonstrating persistence.
• Flexibility to provide support across various time zones.
