This is a fully remote position, open to applicants in United States.

📋 Description

• Manage the complete lifecycle of contracts for institutional subscriptions and special agreements.

• Assess and modify contracts, amendments, and provisions utilizing manual and AI tools to ensure licensing terms align with APS and industry standards.

• Partner annually with the Sales Support Manager and Support team to evaluate and gather licenses for single-site licenses.

• Address inquiries concerning contract terms in accordance with APS policy and standards.

• Guarantee precision in contract data within Salesforce CRM.

• Supervise the licensing workflow in the CRM and ensure data collection accuracy.

• Act as the primary expert for the IVO licensing AI tool and keep APS informed about updates and licensing SOPs.

• Collaborate with both internal and external stakeholders to assess and resolve licensing terms for Consortia, Open Access, and other special sales agreements.

• Serve as the main point of contact for legal, finance, and sales teams seeking agreements or analyzing contract data.

• Ensure that single-site user licenses are collected on an annual or bi-annual basis.

• Create complex licensing agreements for the Sales team.

• Evaluate Supplier and Purchase Order terms during the licensing review process.

• Review inquiries regarding license modifications, amendments, and additional provisions.

• Monitor special licensing procurement processes for consortia, corporate, and government sales.

• Organize contract records and logistics within the CRM database and institutional portal.

• Draft licensing agreements using standardized legal playbooks and pre-approved clauses.

• Maintain an updated library of clauses with legally compliant templates and alternative negotiation language in IVO.

• Track expiration dates and keep automated renewal alerts active.

• Conduct standard administrative tasks, including meetings, filing, and scanning.

• Execute other license-related responsibilities as assigned.


⛳️ Requirements

• An associate degree is required; an Associate in business administration, finance, marketing, pre-law, or LIS is preferred.

• A Bachelor's degree is preferred.

• Paralegal certification is preferred.

• A minimum of 5 years of experience in contract management, paralegal work, or similar roles such as publishing, contract, or library administration.

• Experience at a publishing firm or association is preferred.

• Advanced understanding of scholarly publishing contracts, licensing, and negotiation.

• Proficient knowledge of Open Access trends and publishing.

• Advanced data analysis skills and expertise in software, including CRM, Salesforce, MS Office Suite, and Google Suite.

• Exceptional customer service and communication abilities.

• Strong problem-solving skills, attention to detail, independence, and ability to work collaboratively.

• Capacity to adapt to rapidly changing schedules and the evolving publishing landscape, including licensing terms and deal types.

• Experience utilizing CLM resources and AI-assisted reviews to expedite legal evaluations and identify non-standard deviations.

• Willingness to travel up to 10% for events, meetings, APS offices, and off-site locations.

• Must be responsive during the core work hours of the Eastern Time zone.

• Candidates must be eligible to work from within the United States.
