This is a fully remote position, open to applicants in Philippines.
• Take responsibility for the daily management of the company’s safety, insurance, and risk initiatives.
• Create, maintain, and revise the documented safety program for the company’s W-2 employees.
• Design and deliver remote safety training for staff members.
• Establish and update training materials and guidelines related to ladder safety, roof access, and fall hazards.
• Keep emergency action plans, hazard communication, and heat illness resources up to date.
• Manage OSHA 300, 300A, and 301 recordkeeping, including annual postings and electronic submissions when necessary.
• Oversee training assignments, monitor completion, and manage recertification timelines.
• Conduct investigations into employee incidents, including root cause analysis, assigning corrective actions, and verifying closure.
• Provide assistance with operational workers’ compensation claims and related issues.
• Oversee the certificate of insurance program and track expiration dates of coverage.
• Maintain documentation for subcontractors, including licenses, W-9 forms, executed subcontract agreements, and insurance details.
• Ensure safety and insurance-related language is included in subcontract agreements.
• Verify subcontractor documentation prior to approval and escalate any deficiencies.
• Administer workers’ compensation claims, coordinating with carriers, tracking return-to-work processes, reviewing reserves, and monitoring experience modification.
• Support the documentation and reporting of general liability and auto claims to carriers.
• Collaborate with brokers on renewals, premium audits, and recommendations for loss control.
• Manage fleet and driver safety protocols, including MVR review processes, driver qualification files, and accident reporting.
• Maintain an audit-ready documentation system covering training, incidents, corrective actions, claims, and subcontractor files.
• Manage retention schedules and prepare records for OSHA inspections, insurance audits, customer prequalification, and litigation holds.
• Monitor and interpret federal OSHA and state plan requirements across operational states, including Michigan.
• Generate leadership reports on incidents, claims, insurance compliance, and gaps in the program.
• Ensure the legal distinction between W-2 employees and 1099 independent contractors is upheld, avoiding direction, training, equipping, or disciplining subcontractor personnel.
• Elevate any proposed practices that may extend company direction or training to subcontractors to the Vice President of Compliance & Safety.
• No site visits or field supervision; installation tasks are handled by independent subcontractors.
• At least 3 years of experience in safety, risk, or compliance administration.
• Solid understanding of OSHA regulations and state plan variations.
• Proven experience with OSHA recordkeeping and reporting responsibilities.
• Background in managing workers’ compensation claims and collaborating with carriers and brokers.
• Experience in managing certificates of insurance and ensuring contractor documentation compliance.
• Knowledge of the differences between W-2 and 1099 engagements and the ability to navigate within these boundaries.
• Strong skills in drafting policies and written communication.
• Demonstrated capacity to work completely remotely across various states with minimal oversight.
