This is a fully remote position, open to applicants in United States.
• Assist in the daily operations of a team of Pre-Award Specialists.
• Oversee workload allocation and communicate concerns to the Research Administration Services Director.
• Offer support and guidance to team members.
• Collaborate with the RAS Director regarding pre-award tasks, problem resolution, and workload management.
• Organize inter-team meetings with the Post-Award team lead to enhance collaboration.
• Manage pre-award processes for a designated portfolio of grants and contracts.
• Oversee daily operations and objectives for the specified portfolio.
• Contribute insights and suggestions as part of a cross-functional team.
• Ensure efficient workflow and compliance with quality standards.
• Assist faculty and principal investigators in the development, preparation, and submission of grant and contract proposals.
• Ensure applications adhere to agency and university guidelines, timelines, and deadlines, including the Just-In-Time process.
• Enter and route proposals promptly for review.
• Obtain sub-award documents from collaborating institutions.
• Assist with budget preparation and justifications, ensuring accuracy and consistency.
• Review budgets for compliance with sponsor and university standards and verify financial details and overhead rates.
• Offer advice to principal investigators regarding administrative requirements, budget modifications, and revisions.
• Coordinate and evaluate proposal components such as biosketches and facilities and resources.
• Review proposals to ensure they meet sponsor requirements regarding budgets, formatting, fonts, and page limits.
• Monitor and manage proposal routing in accordance with university protocols and institutional signature requirements.
• Acquire signatures as necessary.
• Track proposal status and inform principal investigators about research protection protocol requirements and deadlines.
• Collaborate with central, school, department, and division offices on research proposals.
• Perform additional responsibilities as needed.
• A Bachelor's degree and five years of relevant experience in grants and contracts OR a comparable combination of education, training, and experience.
• Familiarity with federal regulations and rules related to research grant and/or contract activities.
• Proficiency in MS Office Suite software.
• Significant pre-award research administration experience within a complex academic or healthcare setting.
• Strong knowledge of federal sponsors, particularly National Institutes of Health (NIH) policies, procedures, and proposal requirements.
• Experience with non-federal sponsors, such as foundations, industry partners, and other funding organizations.
• Understanding of Uniform Guidance regulations, cost-sharing requirements, indirect cost methodologies, budget development, proposal review, and sponsor compliance expectations.
• Ability to interpret and apply sponsor guidelines effectively.
• Capability to provide strategic advice to investigators and departmental staff.
• Ability to manage intricate funding proposal reviews while ensuring accuracy and compliance.
• Availability to work during Eastern (EST) time zone business hours may be required.
• Primary work location must not be in New Jersey, Alaska, Hawaii, any U.S. territory, or outside the United States.
• Remote work with occasional visits to an Emory University location.
