📋 Description

• Conduct pre-award and/or award management tasks for the Schools of Medicine.

• Evaluate departmental proposals prior to submission to ensure adherence to University policies and Federal regulations.

• Establish and review awards to support long-term management.

• Assess prior approval requests, re-budgeting, extensions, and closeout procedures.

• Engage in cross-training to provide support for both pre-award and award management responsibilities.

• Assist Principal Investigators (PIs) and Grant Managers in developing proposal budgets and compliant proposal materials.

• Analyze sponsor guidelines, University policies, and Federal regulations.

• Scrutinize proposals for institutional risk, accuracy, appropriate rates, allowability, clearances, and compliance approvals.

• Ensure that subcontractor documentation is thorough and complete.

• Confirm that proposal packages align with sponsor submission standards and are submitted punctually.

• Review award terms and conditions, relaying any issues to PIs or designated administrators.

• Request and evaluate revised budgets as necessary.

• Initiate or approve account setups and process new awards efficiently.

• Act as a liaison between sponsors and investigators to address project issues and prior approval requests.

• Review re-budgeting requests, CAS, no-cost extensions, carryover, closeout, residual balance, and other award management inquiries.

• Coordinate and assess project closeout procedures.

• Stay informed about changes in internal and external policies and procedures.

• Provide compliance guidance to the Office of Research Administration (ORA) and the School of Medicine research community.

• Participate in special projects and initiatives as directed by department leadership.


⛳️ Requirements

• Bachelor's degree typically required for skills in communications, analytical thinking, and organization.

• No prior experience necessary for candidates holding a Bachelor's or Master's degree in a relevant field directly related to the position.

• Completion of necessary departmental training, including GC101 & 201 Introduction to Research, Financial Services Introduction to R3, Introduction to Duke GL, Introduction to Accounting, Sponsored Research Reporting, Research Administration at Duke, and Basic Compliance, within the first six months of employment.

• Successful completion of the Research Administration Academy (RAA) is mandatory.

• Employees hired without RAA training are required to complete it within 12 months of their start date.

• Maintain qualifications for the relevant level.

• Sustain RAA certification through ongoing education requirements.

• Experience with pre- and/or post-grant awards is highly preferred.

• Education and/or certification in research or grants is preferred.
