This is a fully remote position, open to applicants in Florida.

📋 Description

• Facilitate candidate interviews by managing scheduling, interviewer availability, logistics for virtual or onsite meetings, sending invitations, reserving rooms, and providing instructions to candidates.

• Engage in communication with candidates, hiring managers, interviewers, Talent Acquisition Partners, and other relevant stakeholders throughout the recruitment process.

• Develop and uphold interview schedules, prepare interview materials, create candidate itineraries, and maintain all recruiting documentation.

• Assist with requisition administration and ensure accurate maintenance of candidate, requisition, interview, disposition, and offer information within Workday Recruiting.

• Aid in job postings, candidate communications, collection of interview feedback, disposition activities, offer documentation, and follow-up processes.

• Draft, prepare, and send out offer letters along with necessary employment documentation.

• Oversee the coordination of offer approvals, signatures, status updates, and next steps in the hiring process.

• Manage background checks and pre-employment screenings, including tracking progress and addressing any issues.

• Organize pre-employment activities and ensure smooth onboarding transitions.

• Keep track of outstanding recruiting activities and follow up with respective stakeholders.

• Assist in employee referral programs, internal mobility, internship initiatives, early-career programs, recruiting events, and employer branding efforts.

• Generate reports, trackers, and routine metrics related to recruitment.

• Maintain recruiting files, templates, process documentation, shared resources, and records.

• Provide support for agency and vendor administration.

• Identify process improvements and support enhancements within Workday Recruiting.

• Safeguard confidential information.

• Offer administrative and project support to the Talent Acquisition team.


⛳️ Requirements

• An associate or bachelor's degree in Human Resources, Business Administration, Communications, or a related field, or equivalent relevant experience.

• A minimum of 2 years’ experience in recruiting coordination, Human Resources administration, talent acquisition operations, or a similar administrative role.

• Experience in managing complex calendars, coordinating interviews, meetings, or events that involve multiple stakeholders.

• Familiarity with applicant tracking systems, Human Resources systems, scheduling tools, or related business technologies.

• Proven ability to maintain accurate records and handle confidential or sensitive information appropriately.

• Proficient in Microsoft Outlook, Word, Excel, PowerPoint, Teams, and other standard office applications.

• Strong organizational, scheduling, and administrative skills with a keen eye for detail.

• Capability to juggle multiple priorities, adapt to changing schedules, and manage time-sensitive tasks in a fast-paced environment.

• Excellent written and verbal communication skills with a strong customer service orientation.

• Ability to adhere to established processes while recognizing issues and escalating questions as necessary.

• Understanding of recruiting workflows, interview coordination, offer letter management, background screening, candidate communications, and recordkeeping practices.

• Competence in learning and effectively utilizing Workday Recruiting, Microsoft Office applications, collaboration tools, and recruitment technologies.

• Ability to create clear trackers, reports, templates, and process documentation.

• Capacity to work independently, demonstrate accountability, and collaborate effectively across various teams and functions.

• Skill in managing confidential and sensitive information with sound judgment and discretion.
