This is a fully remote position, open to applicants in Brazil.
• Provide support to a Connecticut real estate practice throughout residential and relevant commercial transactions, from the initiation of files to post-closing activities.
• Execute assigned tasks under the guidance and supervision of a Connecticut-licensed attorney, without independently conducting closings, offering legal advice, or practicing law.
• Collaborate with attorneys and staff on real estate and administrative tasks.
• Assist clients during time-sensitive transactions and communicate about necessary documents, scheduling, and transaction updates.
• Accurately record time and transaction activities in accordance with firm protocols.
• Help with the reconciliation of escrow and client funds.
• Adhere to procedures for cybersecurity, wire transfers, identity verification, records retention, and document destruction.
• Keep precise electronic and physical files, calendars, contact details, transaction notes, and closing checklists.
• Monitor deadlines, recordings, post-closing requirements, recording rejections, title issues, and outstanding documents.
• Ensure completed lender packages are returned within necessary timeframes.
• Gather signatures, acknowledgments, notarizations, identification, and supporting documentation.
• Compile signing packages and support the supervising attorney before, during, and after closings.
• Review and prepare closing, conveyancing, title, lender, tax, escrow, disbursement, and other transaction documents for attorney assessment.
• File documents for recording or e-recording with Connecticut municipal land record offices.
• Examine financial, title, lender, municipal, survey, payoff, lien, and other due diligence materials.
• Recognize and escalate potential title defects or transaction complications to the supervising attorney.
• Coordinate with lenders, mortgage brokers, real estate agents, title companies, surveyors, municipal offices, insurance representatives, and opposing counsel.
• Prepare materials for the Connecticut Real Estate Conveyance Tax Return, including Form OP-236 and relevant schedules, while assisting with myCTREC submissions.
• Organize, open, and maintain files for residential purchases, sales, refinances, and relevant commercial real estate transactions.
• A minimum of two years’ experience supporting residential real estate purchases, sales, and refinances.
• Familiarity with real estate contracts, title searches, lender requirements, deeds, mortgages, liens, payoff statements, settlement statements, and recording processes.
• Proven experience managing multiple transactions and deadlines within a high-volume setting.
• Capability to work independently on assigned tasks while knowing when to seek attorney review, approval, or guidance.
• Ability to safeguard confidential client, financial, and personally identifiable information.
• Preferred experience in preparing title commitments, title policies, and endorsements.
• Proficiency in Microsoft Office, Adobe Acrobat, email platforms, document management systems, and electronic filing or recording platforms.
• Preferred experience with SoftPro, Qualia, E-Closing, similar real estate closing platforms, and myCTREC.
• Availability to work Monday through Friday, from 9:00 a.m. to 6:00 p.m. Eastern Standard Time.
• Proficiency in English and Spanish is preferred.
