This is a fully remote position, open to applicants in United States.
• Act as a primary contact within Hoag’s Centralized Patient Service Center.
• Oversee both incoming and outgoing patient communications related to diagnostic imaging and specialty-service scheduling.
• Schedule, reschedule, cancel, and confirm appointments for CT, MRI, mammography/DEXA, X-ray/ultrasound, laboratory, nuclear medicine, pulmonary, vascular, surgery, labor and delivery, radiology, and physician scheduling.
• Address inquiries regarding imaging services, appointment availability, preparation instructions, insurance verification, and general service information.
• Record patient interactions, appointment specifics, and updates in scheduling systems and CRM platforms.
• Evaluate patient orders, referrals, and provider instructions in accordance with established guidelines.
• Efficiently navigate multiple scheduling, CRM, and communication systems at once.
• Collaborate with patients, providers, and internal teams to address scheduling requirements.
• Adhere to workflows, call flows, knowledge resources, HIPAA regulations, and privacy/security standards.
• Recognize patient needs and address concerns while fulfilling service expectations.
• Sustain productivity, quality, attendance, and schedule adherence standards in a high-volume contact center.
• Engage in mandatory imaging-modality training and coaching sessions.
• Utilize feedback to enhance performance and service delivery.
• Execute other assigned responsibilities.
• High school diploma or GED is mandatory.
• A minimum of six months' experience in a healthcare contact center, patient access, or customer service environment is preferred, with direct experience scheduling medical appointments within a healthcare setting—ideally in diagnostic imaging, specialty care, or multi-department scheduling.
• Required experience working from home in a private, secure, and distraction-free environment while fully complying with HIPAA and company data privacy protocols.
• Excellent verbal communication skills characterized by empathy, professionalism, and outstanding telephone etiquette.
• Familiarity with contact center performance metrics, including adherence, quality, and service levels.
• Capability to adhere to assigned schedules, including flexibility for shift changes, coverage swaps, and overtime.
• Proficiency in managing multiple systems and tasks concurrently in a fast-paced setting.
• Strong attention to detail with the ability to follow established protocols and workflows.
• Problem-solving capabilities and the ability to investigate and resolve customer inquiries.
• Basic computer skills with Windows-based systems, Outlook, Teams, and CRM or scheduling platforms.
• Ability to type a minimum of 40 words per minute.
• Willingness to work evenings, weekends, or holidays as required.
