This is a fully remote position, open to applicants in Texas.
• Oversee the preparation, organization, and submission of complex EPC proposals for high-voltage distribution, substations, renewable energy, and utility electrical projects.
• Provide daily guidance and support to Proposal Coordinators, including oversight of tasks, management of escalations, and mentorship.
• Coordinate multiple simultaneous proposals and RFP submissions.
• Ensure that proposal requirements, deadlines, schedules, checklists, and compliance standards are adhered to.
• Review RFP documents and develop proposal documents that align with client requests and company templates.
• Gather inputs from estimating, engineering, procurement, HSE, quality, legal, and other stakeholders.
• Manage internal review and approval processes.
• Collaborate with estimators to integrate pricing, assumptions, and risk factors into submissions.
• Handle proposal document control, formatting, version management, submission packaging, and SharePoint organization.
• Maintain libraries of proposal content, templates, project information, corporate experience, resumes, organizational charts, and supporting materials.
• Keep CRM records updated regarding proposal status, client interactions, outcomes, and business development metrics.
• Act as the primary point of contact for proposal coordination.
• Participate in proposal kickoff and close-out meetings.
• Capture requirements, lessons learned, and opportunities for improvement.
• Identify and implement process enhancements to optimize workflows, improve document quality and knowledge management, and mitigate risks.
• Track proposal outcomes and assist in win/loss analysis and post-submission client feedback.
• Report directly to the Director of Preconstruction.
• Post-secondary education in Business Administration, Communications, Construction Management, English, or a related field.
• A minimum of 4–6 years of experience in proposal coordination or project administration, preferably in the electrical utility, EPC, or construction sectors.
• Proven ability to lead complex proposal initiatives and coordinate inputs from multiple stakeholders.
• Previous experience in a leadership or informal supervisory position is highly preferred.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Experienced in SharePoint administration and organization.
• Familiarity with CRM platforms and proposal tracking tools.
• Comfortable with editing and formatting documents for clarity, consistency, and impact.
• Exceptional organizational and time management abilities, with the capacity to juggle competing priorities under pressure.
• Strong and professional verbal and written communication skills.
• Team-oriented with a proactive and supportive leadership style.
• Detail-oriented with a dedication to producing high-quality work and seeking continuous improvement.
