This is a fully remote position, open to applicants in United States.
β’ Oversee assigned RFP, RFI, RFQ, and other bid submissions under the guidance of the Lead Proposal/Contracts Manager.
β’ Analyze and assimilate solicitation documents, encompassing requirements, evaluation criteria, instructions, timelines, forms, exhibits, and submission prerequisites.
β’ Develop response strategies, compliance matrices, content outlines, schedules, and task allocations.
β’ Assemble response teams comprised of sales, technical, delivery, finance, operations, vendor, subcontractor, and subject matter expert functions.
β’ Identify necessary content and source reusable materials from previous submissions, templates, approved content libraries, and company resources.
β’ Delegate content requests while communicating expectations, deadlines, and deliverables.
β’ Follow up with contributors to clarify requirements and escalate any delays or issues.
β’ Gather, organize, and consolidate contributions into cohesive proposal packages.
β’ Write, edit, and enhance proposal content for clarity, consistency, grammar, formatting, flow, and compliance.
β’ Develop or coordinate executive summaries, company overviews, solution descriptions, project methodologies, qualifications, resumes, case studies, and supporting documents.
β’ Ensure that submissions adhere to requirements, structure, formatting, naming conventions, and submission guidelines.
β’ Coordinate internal reviews and approvals while maintaining version control.
β’ Collaborate with pricing, finance, delivery, and technical resources to integrate solution details, cost information, staffing plans, assumptions, and supporting documentation.
β’ Monitor addenda, amendments, clarifications, and changes through internal channels or procurement portals.
β’ Prepare final proposal packages for internal approval and submission.
β’ Maintain databases of previous responses, reusable content, case studies, resumes, certifications, and other proposal materials.
β’ Assess completed proposals for content to repurpose, update, retire, or add to the content library.
β’ Manage content metadata for efficient searching and reuse.
β’ Assist with post-submission clarification responses, revisions, presentations, and follow-up materials.
β’ Document lessons learned and enhance proposal workflows, templates, tools, and content management practices.
β’ Track proposal activity, deadlines, status, and outcomes for reporting purposes.
β’ Support related contracts, compliance, and documentation tasks.
β’ Identify and escalate security risks while contributing to remediation efforts.
β’ Execute additional duties as assigned.
β’ 3β5 years of experience coordinating RFP, RFI, RFQ, or other complex bid submissions.
β’ Excellent writing and editing abilities.
β’ Capability to interpret solicitation requirements and formulate response plans.
β’ Skill in coordinating cross-functional contributors.
β’ Ability to manage competing deadlines and maintain version control.
β’ Experience in proposal coordination, RFP/RFI response management, sales support, technical writing, project coordination, or a related field.
β’ Strong proofreading and document-formatting skills.
β’ Background in coordinating contributions from cross-functional teams and subject matter experts.
β’ Capacity to manage multiple deadlines, priorities, versions, and contributors at once.
β’ Keen attention to detail and strong follow-through.
β’ Proficiency in creating professional, cohesive documents from various contributors.
β’ Robust organizational, communication, and time-management skills.
β’ Ability to work effectively as an independent contributor without direct reports.
β’ Proficient in Microsoft Office, document-management tools, collaboration platforms, and proposal-management systems.
β’ Quick adaptability to new technologies, systems, processes, and solution offerings.
β’ Must reside in the United States.
β’ Complete ongoing security awareness training and adhere to company policies.
β’ Experience in a VAR, technology services, professional services, consulting, or similar environment is preferred.
