This is a fully remote position, open to applicants in United States.
• Review and assess RFIs, RFPs, RFQs, QBSs, bids, and various solicitations.
• Determine evaluation criteria, necessary response components, forms, page limits, submission guidelines, and compliance risks.
• Convert solicitation requirements into proposal response strategies.
• Create proposal timelines, outlines, compliance matrices, and work plans.
• Clearly communicate milestones, responsibilities, review expectations, and deadlines to contributors.
• Organize proposal meetings, milestones, calendar invites, follow-up communications, and cooperation with technical leaders, project teams, teaming partners, and subcontractors.
• Conduct final quality-control reviews for completeness, consistency, writing quality, formatting, branding, and compliance.
• Write and refine client-focused content that outlines EEI services, project experience, staff qualifications, and unique selling points.
• Translate technical concepts related to engineering design, commissioning, building performance, energy, project management, program management, and construction management into easily understandable marketing language.
• Perform research to support pursuit strategies, client and market insights, and content creation.
• Design and create graphics and layouts for proposals, qualifications packages, presentations, marketing materials, advertisements, and digital communications.
• Implement EEI brand standards, coordinate employee and project photography, maintain visual assets, and prepare final files for submission, printing, or distribution.
• Monitor publications and procurement resources for opportunities, prospective clients, and industry updates.
• Assist with prospect research and upkeep of client, media, and market contact information.
• Support website, social media, events, and other marketing initiatives as workload allows.
• Collaborate with employees in marketing EEI services and engage with clients, prospects, architects, teaming partners, and engineering firms as needed.
• Report to the Marketing Manager; no supervisory responsibilities.
• Partner with Marketing, Business Development, branch and regional leaders, project managers, technical staff, People Services, Operations, teaming partners, and subcontractors.
• Minimum of 2 years of experience in proposal coordination, marketing, technical writing, or a related field, preferably within the AEC or professional services sector.
• Proven writing, editing, proofreading, and verbal communication abilities.
• Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.
• Demonstrated expertise in Adobe InDesign, including the creation, editing, formatting, and production of multi-page proposals and qualifications documents within deadlines.
• Strong analytical, organizational, planning, and time-management skills, with the capability to prioritize competing deadlines.
• Ability to work both independently and collaboratively, taking direction from various stakeholders, and managing multiple simultaneous assignments.
• Willingness to work flexible or additional hours when necessary to meet proposal and production deadlines.
• Applicants must be currently authorized to work in the United States on a full-time basis.
• Preferred: experience in supporting architecture, engineering, construction, commissioning, energy, or professional services organizations.
• Preferred: experience in preparing proposals, statements of qualifications, compliance matrices, or Federal SF 330 submissions.
• Preferred: background in graphic design, website content, social media, SEO, or digital advertising.
• Familiarity with OpenAsset is highly preferred.
• Occasional travel required based on business needs, including conferences, trade shows, or team activities.
• Regular desk-based work involving prolonged periods of sitting and computer use; occasional standing, walking, stooping, and lifting or moving materials weighing up to 25 pounds.
