This is a fully remote position, open to applicants in Maryland.
• Oversee the administrative and organizational elements of proposal development for federal, state, and local government opportunities.
• Evaluate RFPs, RFIs, and RFQs, focusing on Sections L and M.
• Create compliance matrices, annotated outlines, and structured templates.
• Interpret proposal guidelines and provide advice to Proposal Managers and Capture leads on requirements, formatting, and compliance risks.
• Ensure document version control and compliance throughout the entire proposal lifecycle.
• Utilize approved AI-enabled tools for requirements analysis, compliance reviews, content organization, and process efficiency while ensuring human oversight and confidentiality.
• Coordinate Pink, Red, and Gold color team reviews, production phases, and submission deadlines.
• Offer input to proposal schedules and synchronize workflows with submission due dates.
• Guarantee adherence to page limits, templates, branding requirements, and document style guides.
• Collaborate with graphics and production teams on layouts, charts, and visual content.
• Act as a liaison between Proposal Managers and Documentation Specialists to produce compliant, electronic-ready proposal packages.
• Conduct final quality checks, optimize PDFs, and establish file naming conventions.
• Assist the Contracts Manager with electronic submissions via government portals.
• Maintain organized digital repositories such as SharePoint PMC.
• Assign PMC user permissions to contributors, subcontractors, and consultants.
• Ensure accurate file structures, version histories, and naming conventions.
• Monitor proposals and supporting documentation after submission.
• 5–8+ years of experience in proposal coordination, editing, or production within the realm of government contracting.
• Strong knowledge of FAR, DFARS, and agency-specific procurement requirements.
• Proficient in SharePoint, Awarded AI, Deltek, GovWin, VisibleThread, and similar systems.
• Outstanding attention to detail, organizational skills, communication abilities, and time-management expertise.
• Capability to work under pressure, manage multiple deadlines, and support large, multi-disciplinary proposal teams.
• Bachelor’s degree in English, Communications, Marketing, or a related discipline.
• APMP Certification (Foundation or higher) is preferred.
• Prior experience coordinating complex color team reviews and high-volume proposal efforts is preferred.
• Familiarity with federal and defense submission portals, including GSA, DoD, and DOE, is preferred.
