Project Manager – UX Research Vendor Operations

This is a fully remote position, open to applicants in United States.

📋 Description

• Act as the main point of contact and advisor for UX Researchers navigating vendor and procurement processes.

• Oversee UX Research vendor engagements from initial intake through the creation and execution of SOW, PO issuance, and invoicing.

• Manage a portfolio of ongoing engagements and ensure each project progresses towards completion.

• Coordinate efforts among researchers, contract associates, vendors, approvers, and leadership.

• Proactively follow up with stakeholders and instill urgency when actions or approvals are pending.

• Quickly identify obstacles, recommend solutions, escalate as needed, and drive issues to resolution.

• Provide proactive written updates to managers and stakeholders regarding progress, risks, dependencies, and blockers.

• Anticipate stakeholder needs and potential challenges before they hinder an engagement.

• Maintain accurate tracking of KPIs and SLAs, ensuring strong data integrity.

• Keep vendor resources, process documentation, team wikis, and toolkits up to date.

• Identify recurring challenges within the intake to contract process and suggest improvements.

• Manage projects related to implementing process enhancements.

• Offer guidance on compliance policies related to vendor engagements.


⛳️ Requirements

• Bachelor’s degree.

• 4 or more years of experience in project coordination, project management, program management, procurement, vendor management, or operations.

• Proven experience in independently managing workstreams from start to finish.

• Demonstrated ability to handle multiple concurrent projects or cases across cross-functional teams and external partners.

• Strong capability to maintain momentum across a high-volume portfolio with minimal daily supervision.

• Experience in proactively communicating status, risks, and blockers through regular written updates.

• Proven experience utilizing AI tools to enhance productivity, efficiency, and overall throughput.

• Excellent written and verbal communication skills, with the ability to tailor communication for peers, cross-functional stakeholders, and senior leadership.

• Ability to exercise sound judgment and make decisions in ambiguous situations.

• Exceptional organizational skills, attention to detail, prioritization, and follow-through.

• Proficiency in English (Required).

• Must not require sponsorship to work in the US.
