This is a fully remote position, open to applicants in Indonesia, +1 more country.
• Assist in the initiation of projects, clarification of scope, and documentation of Statements of Work for various client initiatives.
• Facilitate resource coordination among engineering, service desk, NOC/SOC, vendors, and internal teams.
• Monitor milestones, deliverables, dependencies, risks, action items, and decisions utilizing project management tools.
• Maintain ownership of projects and next steps, proactively following up with designated individuals.
• Identify stalled tasks, unmet commitments, resource conflicts, and emerging risks, escalating these issues as necessary.
• Aid in the budgeting, forecasting, scheduling, and financial tracking of projects.
• Coordinate engineering schedules with resource and dispatch teams, resolving any scheduling conflicts.
• Create agendas for project meetings, document decisions, capture action items, and ensure follow-up on commitments.
• Ensure project activities are logged, scheduled, and monitored through project management, PSA, ticketing, and operational systems.
• Stay informed about client SLAs and operational obligations.
• Adhere to project governance, change management, documentation, security, and data-handling standards.
• Manage device provisioning, deployments, migrations, upgrades, and various implementation tasks.
• Support transitions from project teams to service desk/operations, including documentation, asset updates, unresolved issues, and knowledge transfer.
• Act as a communication link between clients, project managers, engineers, vendors, and internal service teams.
• Provide updates on project progress, milestones, risks, decisions, and timeline adjustments.
• Communicate with U.S.-based clients via email, Microsoft Teams, and project meetings.
• Convert project status and technical information into language that is accessible for clients.
• Follow up on client decisions, approvals, inquiries, and commitments.
• Assist in managing expectations among client leadership and technical teams.
• Prepare and maintain project documentation, runbooks, SOPs, schedules, meeting notes, and status reports.
• Assist in user acceptance testing, final validation, and readiness activities.
• Complete project closeout tasks, including updates to documentation, ticket closures, asset updates, tracking outstanding items, and noting lessons learned.
• Ensure that deliverables and documentation adhere to project and internal quality standards.
• 2–4+ years of experience in project coordination, administration, or management, preferably in technology or professional services.
• Capability to manage multiple projects or workstreams concurrently while maintaining a keen attention to detail.
• Proficient written and spoken English, including professional communication with U.S.-based clients and colleagues.
• Strong organizational, follow-up, prioritization, and time management abilities.
• Comfort working alongside technical professionals and acquiring knowledge of IT project terminology and workflows.
• Experience with project management, ticketing, PSA, workflow, or task-tracking platforms.
• Ability to identify risks, dependencies, and stalled work, taking appropriate actions as needed.
• Capacity to work independently within a distributed team while remaining responsive, collaborative, and accountable.
• Willingness and ability to work a full-time schedule according to U.S. Eastern Time.
• Previous experience in an MSP, IT services company, or client-facing technology environment is preferred.
• Familiarity with project management software and platforms is advantageous.
• Knowledge of PSA/RMM or service management tools such as ConnectWise, Autotask, N-able, Kaseya, NinjaOne, or similar platforms is preferred.
• Understanding of MSP workflows, SLAs, ticketing, asset management, change management, and service handoffs is preferred.
• Exposure to Microsoft 365, Azure, networking, cloud, infrastructure, device deployment, or migration projects is preferred.
• CAPM, PMP, or other formal project management training/certification is preferred.
