This is a fully remote position, open to applicants in United States.
• Oversee project operations, which encompass note-taking, scheduling, follow-ups, reminders, and various administrative tasks.
• Create agendas for meetings and facilitate them as needed.
• Record significant decisions and assist with subsequent actions.
• Help in formulating and managing project plans, which include timelines, deliverables, and status reports.
• Monitor deliverables closely.
• Coordinate in-person and virtual events, managing logistics, material preparation and mailing, setup, technical requirements, and real-time coordination.
• Aid in the creation of project documents such as project reports, funder reports, board reports, and presentations.
• Participate in project planning and decision-making processes.
• Assist in the technical support process, including tracking submissions, arranging consultations, follow-ups, and data entry.
• Act as a liaison between project partners and other key stakeholders.
• Oversee and manage the Coral online communication and data platform.
• Support the project team and collaborate with the Communications department on promoting and communicating project initiatives.
• Provide daily management for specific deliverables and activities involving external clients, vendors, and internal support teams.
• Deliver prompt and effective customer service.
• Maintain the general project email inbox.
• Execute additional tasks as assigned.
• A Bachelor's degree in Public Health or a related field, with a preference for candidates with administrative or project management experience.
• Relevant experience may be considered in lieu of formal education.
• High proficiency and comfort level with office systems, computers, and the MS Office Suite: Outlook, Word, Excel, PowerPoint, and virtual meeting platforms (Zoom, Webex, etc.).
• Excellent oral and written communication skills, with the ability to convey sensitive information tactfully or the willingness to learn how to do so with various partners.
• Capable of multitasking and prioritizing work both under supervision and independently as required.
• Ability to propose project-related timelines and adhere to deadlines.
• Highly organized with strong skills in managing multiple details across one or more projects.
• Proficient in generating solutions to challenges as they arise.
• Ability to thrive in a collaborative team environment.
• Highly adaptable and flexible.
• Previous experience in coordinating in-person and virtual events is strongly preferred.
• Familiarity with or knowledge of public health, particularly maternal and child health, healthcare, or related systems is preferred.
