This is a fully remote position, open to applicants in United States.
• Provide high-level administrative assistance to operations, administration, and management for commercial real estate initiatives.
• Support program managers, project directors, project managers, project control personnel, estimators, and technical teams.
• Organize schedules and manage project and program documentation.
• Monitor action items and assist with reporting tasks.
• Aid project management in overseeing budgets, schedules, procurement, quality, and risk across commercial real estate projects.
• Maintain project files, records, correspondence, repositories, document libraries, and records management systems.
• Ensure the integrity of project data, accuracy of documents, version control, reviews, approvals, and distribution.
• Coordinate meetings, workshops, briefings, stakeholder engagements, and site visits.
• Prepare agendas, record minutes, and track action items until completion.
• Assist with onboarding team members and managing distribution lists.
• Monitor project progress against objectives, budgets, and timelines; report status and any variances.
• Assist with action plans and delivery schedules.
• Collaborate with program controls, delivery teams, and the Delivery Director regarding resources and delivery.
• Facilitate communication across various projects and program domains.
• Support the development of executive presentations and briefing materials.
• Ensure adherence to documentation standards, account governance, and relevant SOX controls.
• Perform additional duties as assigned.
• Must be authorized to work in the United States without requiring visa sponsorship now or in the future.
• A bachelor's degree is preferred, or an equivalent combination of education and experience.
• At least 2 years of relevant experience is required.
• Minimum of 2 years of experience in construction project management is necessary.
• Experience supporting large-scale infrastructure projects is preferred.
• Proficiency in Microsoft Office Suite, including Excel, PowerPoint, Word, Outlook, and Teams is essential.
• Familiarity with Kahua is a plus.
• Experience in preparing reports, meeting minutes, and executive-level presentations is required.
• Must be able to manage multiple priorities with minimal supervision.
• Previous experience in the AEC industry is preferred, including roles in construction project management, owner's representation, or commercial project management.
• Understanding of project management methodologies and best practices is necessary.
• Ability to read and interpret architectural drawings is important.
• Knowledge of leases, contracts, and construction practices is beneficial.
• Ability to analyze potential solutions using technical expertise and sound judgment is required.
