This is a fully remote position, open to applicants in United States.

📋 Description

• Take ownership of and oversee the annual educational calendar established by leadership.

• Implement project plans, drive timelines, and ensure cross-functional contributors meet deadlines.

• Identify and address scheduling conflicts, dependencies, and potential risks.

• Coordinate the scheduling, preparation, materials, and communications for faculty and experts.

• Manage the logistics of the curriculum, ensuring slides, handouts, pre-work, and recordings are ready.

• Act as the main point of contact for recruited speakers and logistics involving the expert network.

• Produce both virtual and in-person experiences from start to finish, including run-of-show, tech checks, and on-site flow management.

• Oversee event logistics and vendor management, including venues, audio/visual needs, platforms, catering, and travel as required.

• Execute member onboarding, engagement, and renewal workflows according to established playbooks.

• Collaborate with marketing on launches and enrollment campaigns.

• Monitor and report on program revenue, expenses, enrollment, attendance, engagement, and retention metrics.

• Maintain dashboards and post-event reports, providing insights for continuous improvement.

• Continuously refine and maintain standard operating procedures and repeatable operating systems.

• Manage the project-management system to ensure daily accountability and clarity of tasks.

• Highlight risks, gaps, and issues to the Founder, along with proposed next steps.

• Operationalize and execute the defined annual program calendar seamlessly across the education and community ecosystem.


⛳️ Requirements

• 2–5 years of experience in coordinating operations for established programs such as professional/executive education, associations/membership communities, certification/CPE, masterminds, or conference/live event series.

• Proven track record in producing events and managing vendors effectively.

• Hands-on project management experience using a project management platform (e.g., Asana/ClickUp/Trello) and ownership of standard operating procedures.

• Demonstrated ability to coordinate with faculty, experts, speakers, and cross-functional teams (e.g., marketing).

• Familiarity with project management tools, calendar and capacity planning, CRM/membership or LMS platforms, spreadsheets/dashboards, virtual event platforms, run-of-show production, documentation, and SOP maintenance.

• Detail-oriented with strong operational rigor, proactive in risk identification, and effective in clear and diplomatic communication, vendor/stakeholder management, follow-through, and time management under deadlines.

• A computer with a minimum of 8GB RAM and an Intel i5 or AMD Ryzen 5 processor or higher.

• Internet speed of at least 40MBPS.

• A headset with an extended noise-canceling microphone and a webcam.

• A backup computer and internet connection.

• A quiet, dedicated workspace at home.

• A reliable internet connection.

• A personal computer with an Intel Core i5 or a similar or higher processor.

• Availability for 40 hours per week, Monday–Friday, during U.S. business hours.
