This is a fully remote position, open to applicants in Philippines.
• Take ownership of and manage the annual educational calendar as established by leadership.
• Implement project plans, oversee timelines, and ensure that cross-functional contributors meet deadlines.
• Proactively identify and address scheduling conflicts, dependencies, and potential risks.
• Coordinate the scheduling, preparation, materials, and communications for faculty and experts.
• Oversee curriculum logistics and ensure asset readiness, including slides, handouts, pre-work, and recordings.
• Act as the primary contact for recruited speakers and manage expert network logistics.
• Facilitate the production of both virtual and in-person experiences from start to finish, including run-of-show, technical checks, and on-site flow management.
• Handle event logistics and vendor management, encompassing venues, audio/visual equipment, platforms, catering, and travel as necessary.
• Administer member onboarding, engagement, and renewal processes using established playbooks.
• Collaborate with marketing on launches and enrollment campaigns.
• Monitor and report on program revenue, expenses, enrollment numbers, attendance, engagement levels, and retention rates.
• Maintain dashboards and conduct post-event reporting, providing insights for continuous improvements.
• Refine and maintain standard operating procedures (SOPs) and repeatable operating systems.
• Operate the project management system to ensure daily accountability and clarity of tasks.
• Quickly escalate risks, gaps, and issues to the Founder with suggested next steps.
• 2–5 years of experience in coordinating operations for established programs such as professional/executive education, associations/membership communities, certification/CPE, masterminds, or conference/live event series.
• Demonstrated experience in producing events and managing vendor relationships.
• Hands-on project management experience utilizing a project management platform (e.g., Asana/ClickUp/Trello) and ownership of SOPs.
• Proven ability to coordinate with faculty, experts, speakers, and cross-functional teams (e.g., marketing).
• Familiarity with project management tools, calendar and capacity planning, CRM/membership or LMS systems, spreadsheets/dashboards, virtual event platforms (e.g., Zoom), run-of-show production, documentation, and SOP maintenance.
• Detail-oriented, with operational rigor, proactive risk identification, effective and diplomatic communication skills, vendor/stakeholder management capabilities, follow-through, time management under deadlines, and the ability to remain calm under pressure.
• Computer equipped with at least 8GB RAM and an Intel i5 or AMD Ryzen 5 processor or higher.
• Internet speed of at least 40MBPS.
• Headset with an extended noise-cancelling microphone and webcam.
• Backup computer and internet connection.
• A quiet, dedicated workspace at home.
• Reliable internet connection.
• Must provide personal computer with Intel Core i5 or a similar or higher operating system.
• Availability for 40 hours per week, Monday to Friday, during U.S. business hours.
