This is a fully remote position, open to applicants in District of Columbia.
• Oversee daily event administration, which includes managing event-related emails and keeping records and the event tracker updated.
• Handle the processing of invoices and payments, while assisting staff in obtaining funding for event participation.
• Administer contracts, speaker agreements, nomination letters, and other documentation through their finalization and legal approval.
• Gather quarterly statistics for event progress reporting.
• Provide logistical support for major events and large delegations, covering registrations, accommodations, transportation, and venue arrangements.
• Direct communications regarding Verra’s participation in external events.
• Manage content for social media posts, entries on the event website, and announcements related to event news.
• Oversee inventory and printing needs for communication materials in coordination with the Marketing Team.
• Maintain internal event communications and updates on the intranet.
• Ensure the appropriate use of Verra trademarks within event contexts.
• Act as the primary contact for CEO briefing notes pertaining to bilateral meetings.
• Coordinate recommendations and logistics for the CEO's bilateral meetings during major events.
• Prepare detailed briefing materials for the CEO for public-facing engagements by organizing subject-matter input, formatting, and consolidating documents.
• Contribute to wider organizational initiatives.
• A minimum of 3-5 years of relevant professional experience, particularly in events management and/or communications/marketing.
• Understanding of essential administrative responsibilities required for this role.
• Experience in carbon markets, climate change, and/or sustainable development is a significant advantage.
• Bachelor’s degree in Communications, Marketing, Event Management or Administration, or a related field; relevant work experience may substitute for educational qualifications.
• Demonstrated ability to support event and/or conference planning, including webinars, stakeholder meetings, and in-person events.
• Comfortable using digital tools and platforms for virtual event management, such as Zoom, Teams, or similar platforms.
• Proficient in MS Office.
• Familiarity with project management software like ClickUp or Monday.com is beneficial.
• Strong written and verbal communication skills, including message crafting, executive briefing drafting, and stakeholder interaction.
• Exceptional organizational abilities and attention to detail; capable of managing multiple priorities, meeting deadlines, and working both independently and collaboratively.
• Skillful at building relationships across departments and with external stakeholders.
• Proactive attitude with the ability to foresee challenges, propose solutions, and adapt as necessary.
• Proficient in English for both written and verbal communication.
• Access to reliable Wi-Fi and a workspace free from distractions.
• Capability to sit at a computer for extended periods.
• Ability to perform physical tasks such as standing, sitting, talking, hearing, reaching, stooping, kneeling, and operating a computer, phone, and keyboard.
• Capacity to lift light loads for event support and travel purposes.
