This is a fully remote position, open to applicants in Norway, +3 more countries.
• Act as the main contact for all event-related creative requests.
• Define the scope of requests, including types of deliverables, formats, quantities, deadlines, dimensions, venue/vendor limitations, and brand guidelines.
• Identify conflicting timelines, unrealistic turnarounds, and missing information, while proposing feasible solutions.
• Provide designers with comprehensive briefs that include all specifications.
• Oversee multiple simultaneous event workstreams across various teams and deadlines.
• Monitor the status of requests and proactively identify bottlenecks.
• Evaluate designer outputs for consistency with brand guidelines, accuracy of copy, resolution, color mode, bleed, trim, safe zones, file formats, and platform requirements.
• Identify errors such as typos, incorrect dimensions, low-resolution exports, broken links, and outdated logos.
• Maintain an efficient quality assurance checklist and process.
• Organize and document event assets, briefs, and final deliverables in a shared drive.
• Keep records of vendor information, production specifications, and lessons learned.
• Anticipate vendor lead times, print production schedules, scope changes, and shipping delays.
• Incorporate buffer and contingency plans into project timelines.
• Coordinate with vendors and print/production partners.
• Provide regular status updates to stakeholders.
• Serve as a liaison between business requesters and the design team.
• Continuously enhance intake and review processes.
• Minimum of 5 years of experience in event marketing, event production, creative operations, or project management with a significant focus on events.
• Proven expertise in managing print and digital production workflows.
• Understanding of dielines, safe areas, and the requirements for RGB and print production.
• Strong organizational and multitasking abilities.
• Capable of handling multiple concurrent, cross-functional requests with competing deadlines.
• Keen attention to detail.
• Experience in reviewing and providing actionable feedback on creative outputs from designers.
• Proactive, risk-aware approach.
• Excellent written and verbal communication skills.
• Comfort in managing stakeholders across various teams with differing priorities.
• Familiarity with project management software such as Asana, Monday, or similar platforms.
• Knowledge of design review tools like Figma.
• Experience in establishing shared drive structures or asset libraries for teams.
• Proficient in English.
• Knowledge of Spanish or Italian is an advantage.
