This is a fully remote position, open to applicants in Tennessee.
• Oversee and direct assigned experiential projects from post-kickoff to final closeout.
• Act as the main production contact during pre-production, build, load-in, event execution, reconciliation, and closeout phases.
• Propose actionable solutions that align with strategic goals, timelines, budgets, and client expectations.
• Collaborate across functions with Accounts, Strategy, Client Development, Design, and Operations teams.
• Contribute to materials for clients and may be required to travel for specific projects.
• Take ownership of fabrication decisions, including custom constructions, scenic elements, structural components, materials, and quality assurance.
• Manage fabrication facilities, interpret design drawings, review samples, and ensure quality control through to final delivery.
• Proactively address build issues and assess vendor quotes and expenses.
• Handle permits across various markets, including street closures, fire marshal approvals, venue regulations, and health and safety compliance.
• Oversee vendor COI and insurance prerequisites and maintain knowledge of market-specific compliance.
• Organize load-ins and strikes, coordinating freight, trucking, labor, and site assessments.
• Recruit, brief, and supervise crew and labor during event days.
• Maintain logistics tracking for shipping, equipment, and scheduling.
• Oversee technical production needs for power, rigging, AV, lighting, and interactive or digital components.
• Collaborate with rigging teams, power engineers, and AV vendors to identify and mitigate technical risks.
• Manage project budgets from initial estimates through to final reconciliation while safeguarding designated profit margins.
• Monitor expenditures in real-time, submit change orders, reconcile actual expenses, and negotiate vendor pricing.
• Facilitate project closeout and ensure vendor invoices are received, assessed, and reconciled.
• Manage client relationships, expectations, status updates, client reviews, and on-site briefings.
• Convey risks, delays, and budget issues along with suggested solutions.
• Source, manage, and coordinate third-party vendors while cultivating long-term partnerships.
• Must reside in or around Nashville, Tennessee.
• Available to begin as soon as possible through the second week of November.
• 5–7+ years of experience in experiential marketing or live event production.
• Demonstrated ability to manage projects from start to finish.
• Capacity to independently handle full project lifecycles from kickoff to reconciliation.
• Experience managing budgets of $500K or more.
• Capability to oversee 3 or more concurrent projects at the same time.
• Experience managing fabrication shops, independently reading and specifying drawings, and ensuring quality control on custom builds.
• Direct experience with permitting in multiple markets.
• Knowledge of COI requirements, fire marshal processes, and compliance specific to markets.
• Hands-on experience in specifying and managing power, rigging, AV, and lighting.
• Strong logistics skills, including load-ins, site assessments, and crew management.
• Experience leading coordinators, PAs, and crew while holding them accountable.
• Proficient in budget management, including creating budgets from scratch, real-time tracking, reconciliation, and vendor negotiations.
• Comfortable managing client relationships independently both on-site and during pre-production.
• Self-starter with excellent organizational and time management skills.
• Able to thrive in a remote, fast-paced environment.
• Growth-oriented mindset, exceptional communication skills, and capability to navigate ambiguity and resolve issues under pressure.
• Proficient in Excel, PowerPoint, Google Suite, Asana or similar tools, and Slack.
