This is a fully remote position, open to applicants in Canada.
• Manage the meeting schedules and project timelines for the Director/Senior Program Lead.
• Reconcile travel authorization forms, expense reports, and credit card transactions; keep an up-to-date expense report.
• Organize both internal and external meetings, speaking engagements, conference participation, and travel logistics.
• Create presentations and speeches.
• Screen and respond to incoming calls, emails, and correspondence independently when appropriate.
• Arrange and participate in virtual meetings using Microsoft Teams or Zoom.
• Offer basic support and troubleshooting for virtual meetings, including access issues, audio/video, screen sharing, roles, and permissions.
• Coordinate projects and tasks related to program development, program evaluation, committees, and similar initiatives.
• Identify upcoming project milestones and ensure that deadlines are adhered to.
• Assist in the development of project and event budgets, monitor project expenses, and ensure budget reconciliation.
• A college diploma in office administration, business administration, or a related field; or equivalent education and/or work experience is mandatory.
• A minimum of two (2) years of progressive experience in a fast-paced environment is essential, preferably in healthcare or a not-for-profit setting.
• Bilingual proficiency in French and English is preferred.
• Advanced English communication skills at the “C” level are required.
• Proficient computer software skills in the Microsoft Office suite and virtual environments are necessary.
• Experience in health and healthcare, especially in quality improvement or patient safety, is preferred.
• Highly developed interpersonal and problem-solving abilities.
• Strong project management skills, including planning and collaboration across teams.
• Excellent oral and written communication capabilities.
• Proven time management skills; well-organized and detail-oriented.
• Professional tact, diplomacy, and the ability to maintain confidentiality are required.
