This is a fully remote position, open to applicants in Germany.
• Build, lead, coach, and cultivate a high-performing operations department that supports Healthcare Solutions and Professional Education events throughout EMEA.
• Set priorities, distribute workload, and adjust team capacity for scheduled activities and urgent requests.
• Refine and standardize end-to-end event operations through established processes, service standards, templates, workflows, escalation protocols, and decision-making authority.
• Create scalable planning, intake, and prioritization procedures.
• Ensure that events and operational undertakings adhere to compliance, governance, documentation, and audit readiness standards.
• Oversee the departmental budget and track event-related expenditures and supplier invoices.
• Serve as the senior escalation point for operational challenges.
• Define and assess service levels, operational KPIs, and dashboards.
• Lead initiatives for continuous improvement and eliminate operational bottlenecks.
• Promote the use of CVENT and Veeva Vault.
• Manage strategic relationships with suppliers.
• Collaborate with Professional Education, Healthcare Solutions, Finance, Procurement, Legal, Compliance, Marketing, Regulatory, and external providers.
• Provide leadership with operational updates, capacity forecasts, budget insights, risk evaluations, and scaling suggestions.
• Oversee operational specialists tasked with contracting, grants, procurement administration, project coordination, communications, participant management, logistics, booking coordination, COLADA administration, CVENT implementation, and Veeva Vault governance.
• Extensive experience in leading event operations, professional education operations, or a similar service delivery function in a multifaceted, regulated environment.
• Proven track record in leading and developing teams, effectively allocating resources, and enhancing organizational capacity.
• Demonstrated success in streamlining and standardizing processes to foster growth, elevate service levels, and achieve measurable efficiency improvements.
• Strong judgment and composure in managing competing priorities, urgent issues, and last-minute requests across various countries and stakeholders.
• Solid understanding of compliance, governance, documentation, and audit-ready execution.
• Experience in budget management, supplier performance, and delivery trade-offs within established financial limits.
• Exceptional cross-functional leadership and communication capabilities.
• Proficiency in utilizing event management and workflow platforms to enhance scalability, visibility, and data quality.
• Fluency in English is mandatory.
• Proficiency in German is a plus.
• Experience with CVENT, COLADA, or Veeva Vault is advantageous.
