Practice Operations Manager

This is a fully remote position, open to applicants in Texas.

📋 Description

• Oversee the complete execution of implementation for new practices from initiation to go-live.

• Develop and sustain implementation project plans, including milestones, dependencies, and deliverables.

• Coordinate the implementation of AWV workflows, the rollout of CM embedded initiatives, and activities of the PAC workgroup.

• Monitor implemented changes, gather outcome data, and detect any gaps.

• Keep comprehensive documentation of implementation processes, results, and lessons learned.

• Extract and compile HubSpot CRM reports for portfolio analysis, escalation decisions, and reporting to leadership.

• Assess CRM and report data for accuracy and completeness prior to delivery to providers.

• Collaborate with Data Analytics to address discrepancies, gaps, and issues related to data integrity.

• Identify practices with risk indicators and escalate these with appropriate context.

• Manage and oversee Practice Success tasks, follow-ups, and escalations.

• Maintain and perform quality assurance on report templates, data sources, and CRM fields utilized for scorecard delivery.

• Provide consistent status updates and operational insights to leadership.

• Facilitate internal meetings across CDI, Care Management, and Quality teams.

• Work in partnership with Clinical Operations, Technology, Quality, and Product teams.

• Direct practice-level operational barriers to pillar leads and monitor their resolution.

• Coordinate internal operational teams throughout the implementation process.

• Integrate feedback from Practice Success into implementation plans, reporting design, and process enhancements.

• Maintain records in HubSpot CRM, including meeting logs, action items, and engagement status.

• Update network tracking items relevant to the assigned portfolio.

• Document meeting notes and distribute summaries of action items.

• Develop and maintain standard operating procedures (SOPs), workflow documentation, and process enhancements.

• Identify opportunities to standardize and scale operational processes.

• Schedule and organize internal and cross-functional meetings focused on performance.

• Adhere to security policies and procedures to safeguard PHI, PII, and company intellectual property.

⛳️ Requirements

• At least 3 years of experience in healthcare operations, implementation management, project or program management, or healthcare consulting.

• Strong knowledge of healthcare operations and regulatory standards.

• Expertise in data analysis, reporting, and problem-solving.

• Proficient with CRM platforms, preferably HubSpot.

• Skilled in data and reporting tools.

• Proficient in the Microsoft Office suite, particularly Excel.

• Capable of managing multiple projects and implementations concurrently.

• Excellent written communication skills for internal reporting, meeting notes, action item summaries, and operational documentation.

• Ability to work autonomously with a strong sense of ownership and accountability.

• Ability to coordinate and influence stakeholders across various internal cross-functional teams.

• Experience working with health systems or healthcare provider organizations.

• Capacity to integrate feedback into enhancements of internal process designs.

• Minimum internet speed of 100 Mbps for downloads and 10 Mbps for uploads.

• Employees must be available during designated working hours.

• Ability to participate in virtual meetings with cameras on.
