This is a fully remote position, open to applicants in United States.
• Act as the primary contact for inquiries regarding policy, onboarding, leave, and timekeeping.
• Provide training to office managers on standard People Operations procedures, escalation paths, documentation protocols, and the HR partner's platform.
• Conduct regular compliance audits related to I-9s, timekeeping, employee classification, record maintenance, and more.
• Monitor audit findings until resolution.
• Keep the compliance calendar updated for each state.
• Collaborate with the HR partner and background check provider.
• Direct legal, regulatory, and credentialing inquiries to leadership and the Legal team.
• Manage the intake and documentation process for sensitive employee issues, including complaints, terminations, and disciplinary records.
• Promptly escalate employee issues and highlight inconsistencies for leadership assessment.
• Assist with FMLA and ADA leave and accommodation evaluations by collecting documentation and verifying subsequent steps.
• Support reviews of people-related practices planned for acquisition, covering employment compliance, benefits, payroll, paid time off, and performance reviews.
• Oversee employee onboarding and benefits transitions for new practices, including I-9/E-Verify, payroll, COBRA, and PTO.
• Implement the handbook and state-specific addenda while tracking outstanding items to resolution.
• Aid in recruitment for practices seeking assistance from VHP.
• Collaborate with practice leadership on defining roles, sourcing candidates, and screening applicants.
• Arrange interview schedules and manage offer logistics with office managers.
• Familiarize yourself with the practice structure and HR partner workflows within the first 90 days.
• Establish the compliance audit schedule and state-specific calendar.
• Perform a baseline audit of active practices and provide a summary of necessary improvements.
• Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent experience.
• At least 3 years of progressive experience in People Operations or HR.
• Required background in multi-state employment compliance.
• Preferred experience in healthcare, physician practices, an MSO, or another multi-site service environment.
• Experience collaborating with an external HR partner or PEO, or across multiple legal entities, is preferred.
• Preferred background in supporting acquisitions, including evaluating people practices before closing and assisting teams during the transition.
• Certification such as SHRM-CP, PHR, or a similar credential is preferred.
• A recruiting background supporting physical practice teams is a plus.
• Strong judgment and discretion in handling sensitive employee matters.
• Familiarity with federal and multi-state employment laws, including FMLA, ADA, wage and hour, and anti-harassment regulations.
• Excellent organizational skills and follow-through; capable of independently managing recurring audit cycles across multiple small sites.
• Strong communication and coaching abilities for managers without an HR background.
• Comfortable working with HR and payroll systems.
• Must currently reside in the U.S.
• High school diploma or equivalent is required.
• Experience with multi-state compliance is necessary.
• Must indicate whether sponsorship will be needed to work in the U.S.
