This is a fully remote position, open to applicants in Alabama, +33 more states.
• Carry out designated payroll tax responsibilities, ensuring precise payroll runs, reviewing output reports, managing tax filings and payments, and providing compliance assistance across active jurisdictions.
• Investigate and address standard State and Federal payroll tax notifications, escalating more complicated cases as necessary.
• Compose written replies to agency notifications, including supporting documentation, and ensure submissions are made by required deadlines.
• Create standard amended payroll tax returns, such as Form 941-X and state equivalents, offering guidance on complex adjustments.
• Facilitate payroll correction workflows by collecting error details, calculating quarterly tax impacts, and maintaining audit documentation until resolution.
• Organize personal work queue in line with SLA deadlines and thoroughly document each case.
• Identify recurring issues and data trends, sharing insights with senior staff.
• Highlight outdated SOPs or Knowledge Base articles and propose updates.
• Engage in cross-functional collaboration with internal teams.
• High School Diploma or equivalent qualification.
• At least 6 months of customer service experience.
• Must be 18 years of age or older.
• Ability to type a minimum of 25 words per minute.
• Proficient with desktop computer systems and possess general knowledge of Windows-based platforms.
• Over 2 years of back-office payroll experience, specifically within a payroll services company.
• More than 2 years of high-volume multi-state US payroll tax processing experience.
• At least 2 years focused on tax notice resolution, amended return preparation, and payroll error corrections.
• Proven track record in resolving complex IRS and state agency notifications.
• Direct experience in preparing or approving amended Federal (941-X, W-2c) and State returns, including intricate local jurisdictions like PA and OH.
• Comfortable using AI tools on a daily basis.
• Experience managing peer/customer escalations independently, diagnosing root causes, and exercising independent judgment.
• Demonstrated experience as a Change Champion, peer mentor, and high achiever in productivity/quality metrics.
• Advanced skills in extracting complex technical information and translating it into simple, actionable steps.
• Active Fundamental Payroll Certification (FPC).
• Validation-first attitude with a willingness to test and adopt new methodologies.
• Strong cross-functional collaboration abilities.
• Experience in editing or recommending updates for SOP and Knowledge Base content.
• Capability to adapt smoothly into different jurisdictions or sub-teams.
• Excellent customer service, communication, listening, analytical, organizational, problem-solving, emotional intelligence, open-mindedness, critical thinking, and solution-oriented skills.
• Ability to operate within a structured schedule with various shift options.
• Dedicated workspace near a router for a hardwired Ethernet connection.
• Minimum internet speed of 15 Mbps download and 10 Mbps upload, with an ISP latency of under 50ms.
• Internet connection must not be satellite, mobile data/hotspot, P2P, or VPN.
