This is a fully remote position, open to applicants in Alabama, +23 more states.
• Supervise the payroll tax function and lead the team responsible for daily accounting activities related to program operations.
• Manage payroll tax specialist personnel, including workload distribution, performance coaching, training, and quality oversight.
• Administer monthly bookkeeping and reconciliation of payroll tax transactions along with general ledger accounts.
• Assist staff in researching and interpreting employer and worker tax laws specific to each state.
• Design, implement, and uphold processes to ensure adherence to federal and state payroll tax regulations.
• Oversee state and federal registrations to establish individuals as employers and facilitate timely tax and labor reporting.
• Ensure tax accounts are maintained in good standing and provide guidance for issue resolution.
• Direct the employer-of-record setup with both state and federal agencies.
• Spearhead research and procedure development for new tax-reporting processes driven by state requirements.
• Ensure timely submission of tax deposits and reports, including SUTA, state income tax reports, IRS Forms 941 and 940, W-2, W-3, 1099, and 1096.
• Oversee the payment of taxes, garnishments, and other financial obligations.
• Review reconciliations for workers’ compensation and manage annual insurance-audit documentation.
• Create budget projections for workers’ compensation and other tax-related expenses.
• Manage audits, reviews, year-end closeouts, and tax-report preparation initiatives.
• Generate accounting-related reports and document accounting procedures thoroughly.
• Lead improvements in workflows and conduct periodic quality assessments.
• Maintain confidentiality of sensitive information.
• At least 3 years of experience in bookkeeping, accounting, payroll tax processing, or a related area.
• Experience in staff supervision or leadership roles.
• Prior experience in preparing and filing Forms W-2, W-3, 1099, 1096, 941, and 940.
• Strong working knowledge of payroll, payroll taxes, general ledgers, and the principles of accounting or bookkeeping.
• Proficient with accounting software, Microsoft Excel, and general computer systems.
• Ability to apply critical thinking, interpret regulations, analyze data, draw logical conclusions, and facilitate problem-solving.
• Proven leadership abilities, including coaching, delegation, and fostering accountability.
• Excellent verbal and written communication skills.
• A self-starter mindset with the ability to drive process excellence.
• Bachelor’s degree in a business-related field preferred; major in Accounting is strongly preferred.
