This is a fully remote position, open to applicants in Philippines.
• Accurately process payroll cycles on a weekly, biweekly, or other scheduled basis in a timely manner.
• Utilize Viventium for payroll processing and to maintain precise employee payroll records.
• Review employee time logs, hours worked, overtime, PTO, and other payroll-related data.
• Handle regular pay, overtime, bonuses, commissions, reimbursements, and other relevant payments.
• Update and maintain pay rates, deductions, direct deposit information, and tax withholding details.
• Examine payroll reports and reconcile any discrepancies prior to payroll finalization.
• Investigate and resolve issues related to payroll discrepancies, missing payments, incorrect deductions, and employee payroll inquiries.
• Address payroll-related questions from employees and management.
• Collaborate with HR on hiring, terminations, promotions, compensation adjustments, and changes in employee status.
• Work with Operations and management to confirm employee hours and attendance records.
• Ensure adherence to company policies, tax obligations, wage and hour regulations, and other pertinent requirements.
• Safeguard confidential payroll documentation and records.
• Assist with payroll reporting, audits, reconciliations, and year-end processes.
• Identify and implement improvements to payroll processes, accuracy, and efficiency.
• Support additional HR, Finance, or administrative tasks as needed.
• Demonstrated experience as a Payroll Specialist, Payroll Administrator, Payroll Coordinator, or in a similar payroll-centric role.
• Preferably possess hands-on experience with payroll processing using Viventium.
• Experience with other payroll or HRIS platforms may be accepted, provided the candidate can quickly adapt to Viventium.
• Solid understanding of employee hours, timekeeping, overtime calculations, payroll deductions and withholdings, PTO and leave tracking, employee compensation adjustments, payroll reporting, and reconciliations.
• Preferred background in processing payroll within logistics, distribution, warehouse, transportation, manufacturing, or other high-volume operational settings.
• Exceptional attention to detail coupled with high accuracy.
• Strong organizational and time-management abilities; capable of meeting stringent payroll deadlines.
• Strong problem-solving aptitude with the capability to investigate and rectify payroll discrepancies.
• Proficient in Microsoft Excel or Google Sheets.
• Competence in managing confidential and sensitive employee information with professionalism and discretion.
• Excellent written and verbal communication skills.
• Ability to work independently while collaborating with HR, Finance, Operations, and other internal teams.
• Reliable computer and noise-cancelling headset.
• Access to a second monitor.
• Stable internet connection along with a backup internet connection.
• Availability to work Monday to Friday, from 9 am to 6 pm US Eastern Standard Time (EST).
