This is a fully remote position, open to applicants in United States.
• Assume primary responsibility for the payroll process, ensuring accuracy, compliance, and timely completion.
• Examine payroll and timekeeping records, including employee hours, pay rates, compensation adjustments, bonuses, reimbursements, deductions, sick leave, and PTO.
• Enter and verify staff hours in NPA while managing payroll-close communications.
• Review drive time, overtime, meal and rest break issues, and address timekeeping discrepancies.
• Maintain employee payroll information in ADP and oversee payroll setup for new hires.
• Research and resolve payroll-related inquiries and discrepancies from employees.
• Assist with payroll audits, reconciliations, reporting, and compliance reviews.
• Calculate and coordinate final paychecks for resignations, terminations, and other separations.
• Manage separation letters, payroll modifications, benefit notifications, and offboarding procedures.
• Oversee and coordinate the daily workflow of HR Assistants.
• Delegate and prioritize HR and payroll administrative tasks while reviewing completed work.
• Train and mentor HR Assistants on HR and payroll processes.
• Act as an escalation point for payroll, timekeeping, employee records, and procedural queries.
• Support HR operations, including employee records, EDD forms, leave documentation, benefits enrollment, and employee communications.
• Maintain payroll and HR trackers, reports, calendars, data logs, procedures, checklists, and internal controls.
• Generate payroll and HR reports for leadership, identifying opportunities for process improvement.
• At least 3 years of experience in payroll, HR/payroll, or a closely related field.
• Required direct hands-on experience in payroll processing.
• Preferred experience supporting California employees and working with California payroll and wage-and-hour regulations.
• Proven experience in calculating and coordinating final paychecks and employee separations.
• Familiarity with overtime, timekeeping, payroll deductions, paid leave, reimbursements, and payroll recordkeeping.
• Required experience with ADP or a similar payroll system; ADP experience is strongly preferred.
• Preferred experience in coordinating or reviewing the work of HR or payroll support staff.
• Strong analytical abilities and exceptional attention to detail.
• Capability to independently manage deadlines and identify payroll issues prior to finalization.
• Sound judgment with the ability to discern when an issue necessitates management or legal review.
• Excellent customer service skills and professional communication abilities.
• Strong organizational skills with the capacity to handle competing priorities in a dynamic environment.
• Proficient in Google Workspace and Microsoft Excel, including trackers, reports, and payroll-related data management.
• High standards of confidentiality, accountability, accuracy, and professionalism.
• Preferred experience with NPA and EASE.
